ANI is looking for an Executive Assistant with excellent typing skills. Real time dictation 80% of job duties. Proficient with MS Office, Outlook and general computer skills. Organizational skills a must. Equivalent required years experience with executive level administration. Immediate start required. Full time afternoon also considered. Competitive salary + Benefits pkg. Provide numerous clerical day to day activities ranging from secretarial duties (mailing, filing, taking phone calls, scheduling appointments etc.) to providing administrative support to executive and management staff to include budgeting, personnel, trainings, and payroll. Requires strong computer, written and verbal communication skills and proficiency in Microsoft Office.

Duties could include:

· Correspondence management
· Oversight of personnel actions
· Award preparations
· Organizational/staffing chart editing
· Advance leave requests
· Position description management
· Interview processing/scheduling
· Scheduling conference rooms
· Time keeper duties
· Distribution of Earning and Leave Statements
· Maintain Travel Comp Time Records
· Annual Performance Plans
· Process Visitor Access Requests
· Manage FSC events calendar
· Process significant events
· Teleconference scheduling
· Training material production
· Mailing functions
· Maintain file plans
· Backup duties for the Directors Staff
· Provides training guidance and assistance to managers, supervisors, and employees within the FSC on all aspects of the training program.
· Maintain a comprehensive training program that provides training to a large number of employees with diverse skill levels and training needs.
· Makes suggestions/recommendations to the Trainer/Management Supervisor of the media equipment and/or software tools that would enhance a training program
· Attend staff meetings and prepare minutes
· Enter/Close FSC Suspense Items
· Handle Office Administrative Functions (Telephone, Calendar, Suspense’s)
· Handle Time Cards for Management Employees
· Handle Transit Benefits
· Manage all Special Projects (Awards, visitor planning, briefings etc.)
· Manage FSC Calendar/Announcement Boards
· Support Staff Attorney
· Perform other duties normally of a secretarial/clerical nature

Specific Requirements/Qualifications/Skills

· High school diploma required; college degree a plus
· 1 years
· Understanding of PCs, Microsoft Office suite
· Professional writing ability
· Type at least 40 words per minute
