Administration / Document Controller works

- Ensure status of books, relief valve files, specifications, manuals, calculations and mechanical completion and commissioning files are maintained properly.
- Removal of obsolete documents in compliance with quality system requirement & Supervise – more... activities of technical documents in central filing room/ document control room.
- Ensure all updated drawings are scanned and replace old micro-films with new scanned Tiff files.
- Ensure activities allocating new drawing numbers, providing document ID code for electrical drawings and hard copies.
- Communicate to the relevant personnel are done as per procedure.
- Log all outgoing and incoming correspondences and maintain electronically.
- Copy, distribute, and file all correspondence in accordance with Filing Index.
- Perform scanning/copying of large volume documents as required
- Receive and maintain a log of all incoming/outgoing letters and transmittals, faxes, memos, MOMs...etc.
- Identify to SKE&C/ Contractor Document Control any changes to agreed distribution matrices of PMT personnel required to receive/review design documents
- When appropriate, provide assistance to secretaries in the packing and process transmittal of documentation for shipment via Federal Express or DHL
- Write distribution on faxes, make copies and distribute
- Provide a weekly status of all outstanding correspondences and follow up with the assigned IK (Inside Kingdom) engineer
- In-Charge of all incoming and outgoing documents for all Out-of-Kingdom(OOK) and In-Kingdom(IK) LSTK Contracts and safekeeping of confidential documents
- Maintain / update files as per the standard filing system of SAUDI ARAMCO;
- Attend / screen incoming calls and fax messages and convey the information to concerned person to effect immediate requirements.
- Admin support for other Divisions, Department Heads and coordinate with all the Document Controllers and Secretaries;
- Coordinate and facilitate arrange of assigned duties to support business processes. Prepare various forms to support business processes.
- Review incoming correspondence and prepare replies for routine inquiries or distribute to relevant parties to support business processes.
- Prepare the agenda, coordinate and facilitate departmental meetings and facilities to support efficient time management.
- Maintain the assigned department documentation and systems to support its efficiency and integrity.
- Provide general administrative support to assigned department and perform a range of day-to-day duties to implement and maintain the office management systems, procedures and processes.
- Comply with local regulations and company requirements
- Supports Senior Project Engineers to coordinate issues with PID (Project Inspection Department) & SKEC Contractors
- Coordinate with PMT Engineers issues in respective responsible area
- Assist in Project Manager to finish other tasks when required
- All incoming Documents are time and date stamped by Document Control immediately after arrival at PMT Design Offices.
- Document descriptions are entered into a Microsoft Excel database which will be interlinked to .pdf renditions of the documents received.
- Comments returned to SKE&C are logged and formally issued by Document Control to SKE&C under cover of an Aramco transmittal. Copies of the comments are retained in .pdf format, and linked to the relevant entry in the database.
- Document Control shall also retain one hard copy of all documents and transmittals in the Archive Room.
- Keeping track/logs of all vehicles records assigned for the Department;

Administration / Planning related works

- Create & maintain information and filing systems, records and indices, including follow-up on confidential matters and keep reference files and policy manuals up-to-date and performs various clerical and administrative tasks.
- Prepare reports presenting statistical information and findings involved in contracts administration.
- Perform all necessary invoice verification, follow-up with various organizations, prepare contracts status reports, handle short-forms contracts procurement, administration and monitor authorized expenditures limits of all long form contracts and assist in long form contracts procurement and administration.
- Assist in preparation of financial and statistical reports as requested by the Manager/Superintendent/Supervisor/Department/Division/Unit heads.
- Perform a wide variety of clerical and administrative duties for an individual or group of individuals in addition, carries out the duties of a Division/Unit Secretary.
- Prepare routine correspondence and routes completed correspondence for signatures.
- Manage correspondences, receive and distribute incoming/outgoing mail.
- Receive telephone calls and visitors, answer routine question, take messages and refer other matters as appropriate.
- Prepare Monthly Manager’s Handbook & Update related planning reports.
- Reviewing the Cost Sheet involving MIS, Operating Plan, Accountability Reports & Business Plan.
- Reviews Materials & Invoices if it is charged correctly in our Department.
- Process of Temporary Access Request going to our respective Offshore rigs.
- Classifying the Incident reports from our rigs which they sent their 24 Hr Incident Reports.
- Assist on preparing Mid-year Accountability, Year-end Accountability, Assist on preparing Business Plan 2010-2015 for (Rigs, Manpower, Invoices, Materials, Labor Cost)
- Monthly verification for our Cost Sheet reports
- Encode the final Operating Plan in the system (PRC & SAP)
- Encoding in the system (SAP) Monthly KPI & PMS reports
- Inventory of equipments & vehicles for our department
- Print morning report for our Manager based on the reports of oil & gas rigs.

Cons: big company government-style culture.
Aramco by some yard sticks is the largest oil company in the world ... and it is run like a big company. They have policies and procedures in place that were drafted decades ago. The foundation of the drilling organization was laid when the countries energy industry was being run by foreign oil companies ... and for the most part is sound. There is – more... a culture of pushing local Saudi personnel up the organization chart ... which I think all countries promote. The rigs are very old and at least partially manned by combinations of non-English-speaking crews ... which can make coordination and team-building a challenge. There are operational idiosyncrasies that take some adjusting to (Mud Cap Drilling and no roller reamers or VBR's) and like many drilling organizations the morning report is critical and the paperwork load gets heavier by the week. The company pays well, but drilling foremen earn it. The work schedule is 14 days on and 7 days off for direct hire foremen (which they call liaisonmen). They sometimes do not have two foremen for every rig and sometimes do not have enough people to allow scheduled days off. When you work your days off, you are paid for the time ... but receive no replacement time off or additional vacation/retirement/etc accrual. The housing scheme makes it very difficult to get a "nice" place to live in the company camp (small town) until you have 5 or 10 years under your belt ... and "drilling" people are restricted to living in specific camps. The job is great for anyone wanting to live between Europe and Asia, and travel on vacations and the short week off. I made it point to see things and visit outside the Aramco world; I found the country, the culture, the people and the experience in the desert and small towns incredible. Unlike the typical vision of the Arab population that many might have, I found the people genuine and eager to be friends. – less

While the job lasts, it is good. But brace yourself for bad news. Have your bags packed. there is a cultural gap between locals and expats which keeps growing.
In Saudi Aramco all employees are equal. But some are more equal than others.
Be ready to witness prejudice at its highest.
Money is the best part. That's the only way to get folks out there.
Nothing – more... is what it seems. There is always a story going on behind the obvious. They treat you based on your nationality, religion, gender, etc. If you happen to be on the privileged list, then you are OK. Until one day they decide you are not. And they are never honest with you.
If you decide to go there, make sure money is good enough for you to bear the other stuff. – less

A typical day working at Saudi Aramco envolved working with multiple nationalities (English, Philippino, Indian, Iranian, etc.) for the production of designs for Hydrocarbon Processing Facilities at the Riyadh Refinery in Riyadh Saudi Arabia. Co-workers were highly capable and friendly. The most enjoyable part of the job was reviewing AE designs for new facilities and facility modification.
