POSITION TITLE: Executive Assistant

REPORTS TO: President

WORK LOCATION: Paradise Valley, Arizona

This position reports to the President. A successful candidate will have excellent communications skills, both verbal and written, strong organizational skills, a positive attitude, professional presentation and computer/internet skills, including Microsoft Outlook, Word, Excel, and Powerpoint, and exceptional problem solving skills, and have the ability to prioritize and meet deadlines.

 Real Estate (Residential & Commercial)
 Apply and work with banks and lenders to secure new financing and re-financing of projects
 Correspond with Tenants, both verbally and in writing, for rent increases, lease extensions, etc.
 Assist in the drafting of leases, lease amendments, and lease extensions.
 Managing vendors, including landscape, HVAC, etc.
 Files & Records
 Scan files and records into internal wiki
 Organize & maintain trusts, real estate, investment documents in wiki
 Receive, distribute incoming mail
 Make mail and bank runs
 Corporate Records and Licensing
 Work with City/County Government to apply and maintain various licensing for businesses
 Manager quarterly and annual filings, new filings, minutes, and resolutions for various entities.
 Maintain up to date and complete corporate documents and records
 Marketing
 Create various forms, brochures or other materials, (or coordinate design, approval and distribution)
 Work with Yellow Page representative to manage yellow page advertising, both book and internet
 Other Office Functions
 Organize, maintain, and ensure the President’s Office has the resources to run smoothly, including a well maintained facility, equipment in good working order, and supplies.
 Act as liaison for management personnel, vendors, and other contacts
 Manage Calendar for the President
 Assists the President with research on varied projects

 Accounting background (min. 2 years experience)
 College Undergraduate Degree
 Microsoft Office (Word, Excel, Powerpoint, Outlook, and Internet savvy)
