TENURE: Term employment for a period of one year. Job start date will be on or around May 1, 2013 pending results of security background check.
SUMMARY OF DUTIES: Under the general supervision of the Administration Program Head, operates the central telephone switchboard in both official languages; provides concise and accurate information in both official languages to visitors and callers concerning the Mission and Canada in general; controls access to the Consulate and ensures that the reception lobby is in good order; provides general assistance to the Consular Program; provides general services for the Administration Program, including filing of financial documents; manages the training function of switchboard and ensures that all material is accurate and up-to-date; and performs other related duties.
LANGUAGE REQUIREMENT: fluency in English and French (both oral and written). Please indicate your level of knowledge in each language in your application.
CONDITION OF EMPLOYMENT (must be met):
Eligibility for a government of Canada Reliability Status which includes a criminal and credit background check.
Must already have work authorization in the US.
ESSENTIAL REQUIREMENTS: Candidates must demonstrate clearly how they meet the Education and Skills/Qualification requirements listed below:
EDUCATION: Successful completion of Post-Secondary School. College degree is an asset.
EXPERIENCE/SKILLS: * Candidate must be fully French/English bilingual and possess excellent oral and written communication skills in both languages; * Two years of experience in providing receptionist/front-line customer services and responding to inquiries from the public. * Experience in providing administrative support services to a diverse work team. * Strong computer skills, Microsoft Office Suite and demonstrated Internet research skills. * Must be willing to work in an area separate from the group and during specific business hours ( 8:45 am to 5:00 pm).
RATED REQUIREMENTS: Candidates who meet the Education and Experience requirements will be assessed on the following qualifications. The assessment may be a written test, an interview, an in-basket exercise, a skills test, or any combination of these methods. KNOWLEDGE: * Knowledge and proficiency in computer software: Microsoft Word, Excel, Outlook and Internet. * Relevant knowledge of Canada and/or the Government of Canada policies * Experience living, working or studying in Canada ABILITIES: * Provide effective client service in person, by telephone, and electronically; * Demonstrate strong customer service skills and the ability to work under pressure; * Strong organizational abilities, sound judgment, maturity and ability to work independently while handling a variety of tasks simultaneously; * Handle sensitive and confidential information with diplomacy and within the parameters of a need to know basis; * Maintain composure when dealing with unusual situations or difficult clients.
