Title: Account Coordinator
Reports to: Chief Operating Officer
Status: Full Time, Salaried

Job Summary:

The Account Coordinator’s primary responsibility is to support DBP clients in a coordinated effort under the lead of the Account Manager. This position requires a variety of different skills and expertise and is a key factor in the success of Davidson Benefits Planning.

Qualifications:
The Account Coordinator must have the following qualifications:

Agreement to obtain State of Oregon Life and Health insurance license within 1 year
Proficiency with Microsoft Word, Excel, Outlook and Powerpoint
Ability to become proficient with industry software, web-based technology and agency management systems
Willingness to continually advance your knowledge and understanding of the employee benefits industry
A basic understanding of the HR benefits industry
Strong time management skills with the ability to prioritize and meet deadlines despite frequent interruptions (e.g. phone calls, urgent issues/meetings)
Capability of multi-tasking and maintaining accuracy and attention to detail
Strong organizational skills
Excellent verbal and written communication
Excellent interpersonal skills
Ability to work autonomously
Detail oriented, extremely resourceful with strong decision making skills
Ability to interact, communicate and build solid relationships with various vendors
Ability to perform duties with accuracy, speed and efficiency
Ability to work in a team environment but exercise independent judgment
Ability to perform under pressure in a fast paced environment
Willingness to work flexible working hours that at times require evening and weekend work

Essential Duties and Responsibilities:

The essential duties and responsibilities of an Account Coordinator primarily involve assisting the Account Manager in the management of client accounts and also include, but are not limited, to the following:

Respond to all client communication by the end of the work day
Identify and attempt to resolve any potential client problems that may arise
Assist in the development and coordination of accurate presentations for renewal business
Coordinate and understand carrier claim, utilization and activity reports
Assist in reviewing carrier contracts and SPDs to ensure they accurately reflect the client’s understanding of the agreement
Assist in negotiating renewals with carriers
Assist in marketing efforts as needed
Assist in coordinating and conducting quarterly client, enrollment, wellness and educational meetings for client
Assist with client communication needs
Prepare annual client benchmarking reports
Provide annual client benchmarking data input to UBA
Keep current with industry regulations and compliance issues; assist in communicating any impact and possible solutions to client
Provide regular interaction with vendors in responding to the needs of clients including feedback on renewal status, service issues, marketing, etc…
Resolve or delegate as appropriate client issues, concerns, questions
Be available for any assistance client may require
Become familiar with compliance regulation including the basics of HIPAA, COBRA, HR and ERISA
Collect census, rate/claim history, current carrier and large claim information for marketing needs
Assist in preparing and presenting client renewal reports (renewal, marketing, etc…)
Provide peer review as needed by other DBP team members
Coordinate vendor meetings with carriers as necessary
Assist with 5500/ERISA filings
Assist analyzing client plan design and gap analysis
Utilize DBP’s agency system, CORe
Fully understand the available external resources including, but not limited to, UBA, HRInsider, Wisdom network, EBC, E-share, Benchmarking
Primary responsibility for filing, organizing assigned client paper and electronic files
Timely and accurate input of client data into agency management system, CORe
Regularly participate in DBP staff meetings (observations, ideas, examples of work, etc…)
Maintain knowledge of DBP products, services and value
Develop and maintain a strong business relationship with current and future clients and all DBP carriers to strengthen the value of DBP
Create a positive atmosphere by demonstrating enthusiasm, a spirit of teamwork and by maintaining high standards and confidentiality
