Qualities of importance to the position: A broad understanding of east-end construction industry & community, fluent in Microsoft Word & Excel, (CAD capabilities, AIA contract doc's & Master-builder a +), ability to read & coordinate plans & shop drawings. Candidate must have excellent communication skills both written & verbal and be highly organized with the ability to multi-task. A reliable vehicle is also required for frequent local errands.

General overview of duties:

1. Architectural drawing, CSK’s and ASI’s.
a. Accepting revised plans and logging onto master plan spreadsheet.
b. Sending to all recipients as required. This task will take an understanding of the project and a sense for which sub-contractor needs to receive the document. How the print has changed and how said change may or may not affect the original budget for that specific work.
c. Updating of master set of drawings at job site trailer.

2. Shop Drawings.
a. Track subcontractor submittal dates as required per project schedule.
b. Accepting and logging.
c. Sending out to recipients as needed.
d. Tracking of required return dates.

3. Product specification submittals.
a. Accepting and logging.
b. Assigning a return date in relation to importance and provide tracking.
c. Sending approvals as needed.

4. Sub-Contractor agreement.
a. Facilitating required standard form prior to any Subcontractor contract signing.
b. Prior to PM signing any contract; aid in completing a review of inclusions and exclusions in relationship to their intended scope of work. Review in detail to verify and quantify the proposal completely in relation to what was used in project budget.
c. Prior to PM signing any contract; verifying all subcontractors insurance are in place and provide required coverage.

5. Sub-contractor RFI’s
a. Accepting and logging.
b. Assigning a return date in relation to importance and provide tracking.
c. Sending to recipients as needed
d. Accepting response and sending it to all recipients as needed.
e. Bi-weekly update to RFI log book at job site trailer.

6. Project Schedule.
a. Aid PM with updating of project schedule as required.
b. Aid in sending out notifications to sub-contractors of target start dates in relation to schedule.
c. Tracking of purchasing of finished material in relation to time line of schedule.
d. Tracking of sub-contractors tasks in relation to time line of schedule.

7. Office and site meetings.
a. When called for; sit in on meetings and take meeting minutes in preparation of generating a final document to be sent to all recipients as required.

8. Project documents.
a. Per instructions from PM; produce standard change order letters.
b. Per instructions from PM; produce standard pricing letters.
c. General clerical as required.
d. Generate Excel spreadsheets as required for project.

9. Cost coding.
a. Aid in organizing monthly project bills for PM cost coding to be tracked in monthly payment application.
b. Aid in review of monthly subcontractor invoices for accuracy in cost, its relationship to work completed to date and work remaining in contract.

10. Project product purchasing.
a. Per Pm or Site Supervisor instructions; order all specialty materials as required. Obtain an understanding of when such products are required to be on site in reference to shipping methods or change in vender to achieve desired due date.
b. Checking on major packages of subcontractor supplied items. i.e. plumbing fixtures, light fixtures, etc. Verifying that their counts and product specifications match the project finish schedules.

11. Payment application.
a. Achieving an understanding of the monthly payment applications. Utilizing its information to gauge the project cost to date and cost to complete. Understanding where subcontractors stand with their scope of work vs. how much money they have remaining to complete their project.

12. Project contract
a. Achieving an understanding of what is inclusive of contract between Builder and client. Major inclusions and exclusions and how they relate to project and schedule.

13. General
a. Aid support from a clerical end to the PM and Site Supervisor.
b. Filling out of project permits and health department applications.
c. Scheduling of Building inspections as directed by PM.
