Looking for a motivated, upbeat, independent, presentable individual to provide general office and admin support at technology solutions provider located in Arlington Heights
GENERAL JOB DESCRIPTION
This individual reports to the CEO/Director of Operations and is responsible for general secretarial duties, providing administrative support to staff as required, tracking current progress of ongoing projects and keeping “Office Hours” of 10a – 5p Monday thru Friday.
DUTIES AND RESPONSIBILITIES
Assume receptionist duties, greet public and refer them to appropriate staff members, answer phones, route calls, take messages, prepare and receive mail and shipments, light customer service
Prepare \ Process Comcast service contracts as required and coordinate with Master Agent
Oversee CRM and Invoicing software for accuracy, completeness and quality assurance
Maintain accurate daily accounting of fees, expenditures and other revenue
Assist with completion of product updates, price changes and marketing tools
Develop and maintain inventory system for incoming and outgoing products
Distribute incoming mail and prepare outgoing mail including processing RMAs and online sales
Maintain front desk area, keeping it clean and free from clutter, create job files and
General quoting, invoicing, payment processing and sales follow up duties
Prepare lists of necessary office supplies and monitor inventory
Update and maintain mailing lists and customer information databases
Produce mailing labels and pdf reports as requested, scanning and faxing duties
Maintain appropriate interpersonal relationships with employees, peers, and consumers.
Keep company work schedule and ensure timely billing of completed jobs
Demonstrated written and oral communication skills
Demonstrated ability to work independently and as a team.
Minimum two years clerical or administrative experience.
Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
Knowledge of general office machines and telephone system.
Knowledge of basic e-commerce systems Amazon, EBAY, and CC Processing
Ability and willingness to work cooperatively with others.
Very acute attention to detail to ensure order and pricing accuracy
Ability and willingness to work some early mornings, evenings and weekend days if necessary
General knowledge of Web Based CRM and Content Management Systems
Proficiency with Microsoft Office 365 and Google Apps for Business software
Experience creating and maintaining Joomla based / PHP based websites
Experience preparing telecom contracts and knowledge of Comcast Business Products
Experience with IT products, systems, computer hardware and pro A/V equipment
Experience in selling and promoting products online and creating marketing
Familiarity with Adobe CS Software Suite and Image Editing / Graphic Design
Pay is dependent upon experience $9-$14/HR plus commission opportunities
