Based in Los Angeles, Equipois Inc. (www.equipoisinc.com) is dedicated to the mission of utilizing its patented exoskeletal arm technology to reduce injuries, increase productivity, and decrease costs in the workplace. The detail oriented and organized Office Manager/Bookkeeper we select will handle all aspects of office administration and bookkeeping, working in conjunction with the Accounting Manager and outside Professional Employer Organization (PEO). The ideal candidate will be able to multi-task, budget their time, and communicate effectively and tactfully with customers, vendors and employees.
-Handle all daily administrative and facilities needs, including mail distribution, light phones, calendaring, greeting visitors, ordering office supplies, restocking of kitchen, maintenance of all office equipment and facilities, as well as other tasks as assigned
-Organize and maintain administrative files
-Draft and maintain correspondence
-Coordinate travel for executive and sales staff
-Assist with special projects as needed, including sales/marketing projects and tradeshow presence
-Manage all aspects of accounts payable, accounts receivable, account and bank reconciliations, deposits, collection and expense reimbursement through use of QuickBooks
-Enter and reconcile invoices through the dual-use of Fishbowl Inventory Management software and QuickBooks
-Generate invoices and make collection calls to collect on overdue invoices
-Field payables and receivables inquiries
-Plan and manage weekly check run
-Run and interpret weekly and monthly reports for company; aging, sales, income, balance sheets
-Assist with filing of 1099's, Quarterly Sales Tax, and other tax documents
-Maintain employee records
-File all new hire, change of status and termination paperwork with Insperity
-Calculate and enter bi-weekly payroll through use of Insperity’s web-based payroll system
-File all invoices, bills and documents
-1-7 years experience in Office Management/Office Administration AND Bookkeeping; experience in only one of these will not be considered
-Strong proficiency in QuickBooks
-Knowledge of Microsoft Office Suite
-Ability to learn new systems and software quickly
-Excellent communication skills
-Exceptional follow through and time management skills, with the ability to work independently and prioritize tasks
-Ability to work calmly under pressure
-Ability to maintain a high level of confidentiality
-Willingness to be flexible and wear multiple hats when necessary
-Prior experience in payroll processing using a web-based payroll system strongly preferred
-Prior experience using Fishbowl Inventory Management, Salesforce and/or Central Desktop software preferred
