Engineering firm is seeking a full-time (40-hour) Administrative and Marketing Assistant for its Corvallis office. The successful candidate will collaborate closely with the engineering and administrative staff to ensure the Firm’s administrative and marketing needs are effectively prioritized, managed and met. Some assignments may involve coordination with our branch office in Beaverton.

Position Duties:

  • Proof-read, compile and distribute engineering reports, memoranda and other documents for clients
  • Manage printing/copying assignments and provide close QA/QC review
  • Work with staff in preparing Statement of Qualifications (SOQ) documents and Request for Proposals (RFP)
  • Assist staff from both offices in the firm’s marketing effort. Assist with the preparation of marketing materials, graphics and presentations. Assist firm President in tracking client contacts, upcoming SOQ/RFP requests, and potential marketing opportunities
  • Organization and filing of previous SOQ and RFP documents
  • Maintain and track employee resumes, project write ups/examples and project lists
  • Maintain client database and consultant roster lists for both offices
  • Use of multi-line phone system to route calls to staff
  • Maintain and order office supplies
  • Maintain employee vacation request schedule
  • Distribute incoming mail and prepare items for mailing using U.S. Mail and express services
  • In charge of services calls and routine maintenance on office machines and work station computers
  • Coordinate and schedule annual company Holiday party
  • Develop and maintain electronic and paper project files
  • Transcribe field notes using a transcription machine
  • Ability to take on additional tasks/responsibility, as required

Minimum/Required Qualifications:

  • Five years of progressively responsible general clerical/administrative/marketing experience that has included typing, word processing, spread sheets, or other experience generating documents; or an Associate’s degree in Office Occupations or Office Technology with three years of experience
  • Experience with the preparation/development of marketing materials for SOQ and RFP documents
  • Ability to multi-task and prioritize tasks and responsibilities
  • Ability to work in and contribute to a cooperative team environment, and ability to work independently on assigned tasks
  • Strong organizational and time management skills, and ability to work under tight deadlines
  • Strong attention to detail, which includes excellent grammar, spelling, formatting and proof reading skills
  • Proficiency in the use of Microsoft Office Suite (Word, Excel, Outlook, Access), and Adobe Acrobat are essential skills for this position
  • Experience and proficiency in graphic design and preparation of marketing materials are not essential, but would be considered a plus
  • Basic IT knowledge
  • Ability to learn additional computer applications
  • Ability to remain flexible, accept directives, and work through frequent interruptions
  • Provide excellent customer service skills to clients and employees
  • Outstanding written and verbal communication skills
  • Valid driver’s license with clean driving record
