About the Department
The Legal Department provides strategic legal services to the Foundation’s administrative and programmatic teams. The Legal Department ensures Foundation compliance with applicable rules and regulations, and helps the Board, Leadership Team, and Program Staff achieve impact by providing solutions-oriented, high-quality, legal advice and counsel.
The Legal Department seeks an experienced Administrative Assistant to provide primary support for the General Counsel/ Chief of External Affairs and other members of the Legal Team. The position requires an individual capable of executing traditional Administrative Assistant/Executive Assistant tasks in a Legal environment. This position reports directly to the General Counsel and Chief of External Affairs.
*Provides primary administrative support for the General Counsel and Chief of External Affairs. Helps to maximize effectiveness by managing priorities, maintaining external contacts and ensuring deadlines are met.
*Provides administrative support for the Deputy General Counsel, Assistant General Counsel and Legal Analyst.
*Manage complex calendaring, travel, and meeting arrangements, including the preparation of itineraries and expense reports.
*Acts as a liaison for the General Counsel by responding to incoming communications, internal communications and determining appropriate action. Routes materials/information to appropriate individuals/groups.
*Assist with presentations, reports and document production. Proper preparation, emailing, mailing, and filing of legal correspondence to include letters, agreements, signature pages, and forms.
*Carries primary responsibility for maintaining all Foundation legal records. Responsible for creating and maintaining a system for the effective archival and retrieval of all records under the control of the Legal Department.
*Assists in scheduling and planning for meetings and events, such as staff and external meetings, trainings, conferences, and presentations, which may include coordinating arrangements for participants, handling logistics, and drafting, preparing and disseminating materials.
*Participate in/or complete special projects as requested.
*Interact and co-ordinate with other Foundation teams on behalf of the Legal Department
Education and Experience
*Education: Bachelor’s degree required.
*10+ years of administrative experience in a legal environment
*Experience working in multi-department organization
*Experience working in law firm and/or corporate law department preferred; familiarity with legal terms.
*Proficiency in technical systems and programs (e.g. Microsoft applications, database management) including proficiency in Windows 7 and Microsoft Office 2010, and experience with PowerPoint and Excel.
