OVERALL DESCRIPTION OF JOB SCOPE AND RESPONSIBILITIES:
This is a position for an experienced ADMINISTRATIVE ASSISTANT to support our Architects! Responsible for the coordination of all paperwork for large architectural projects. Requires strong detail orientation, organizational skills, multi-tasking skills, the ability to meet deadlines, and prioritization of work.

RELATIONSHIPS: This position reports to the Senior Lead Architect, retains relationships with peers and all other departments within the company, maintains relationships with current and prospective residents, and maintains relationships with suppliers, vendors, and others serving the Company or the property.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES:

1.Coordinates all submittals.
2.Coordinate documentation with Architects.
3.Assist with assembly of specifications.
4.Collect and prepare the operation manual documentation.
5.Provide assistance in setting up meeting agendas, minutes, travel and mailings for architectural staff.
6.This position will provide back-up coverage for the Front Desk/Receptionist for lunch hours and days off.

JOB QUALIFICATIONS:
1.Associates degree or equivalent experience in business and/or architecture/construction.
2.Five years working in a similar capacity for an architectural firm, general contractor or construction company directly for an Architect or Project/Construction Manager, or similar experience.
3.Knowledge of the architect or construction industry is preferred.
4.Intermediate knowledge of Word, Excel and Outlook.
5.Ability to complete projects with limited direction or supervision.
6.Ability to prioritize, strong organizational skills, and attention to detail.
7.Work with a sense of urgency while handling multiple priorities and duties.
8.Ability to adapt quickly and easily to changing situations.
9.Ability to work effectively and to communicate professionally with all levels of workers, vendors and business professionals.
10.Good written and verbal communication skills.

SCOPE AND COMPENSATION PACKAGE:
1.Minimum 40 hours per week.
2.Salary commensurate with level of experience.
3.Earned time per employee handbook.
4.Company contributes toward premium expense for medical and dental insurance for permanent full-time position.
5.Eligible for discretionary 401k employer match after one year which will be fully vested after six years.
6.Life insurance for permanent full-time positions.
