Main Job Tasks and Responsibilities

  • answer telephone, screen and direct calls
  • take and relay messages
  • greet persons entering office
  • deal with queries from the public and clients
  • ensures knowledge of staff movements in and out of office
  • monitor visitor access and maintain security awareness
  • general administrative and clerical support
  • prepare letters and documents
  • receive and sort mail and deliveries
  • schedule appointments
  • organize conference and meeting room bookings
  • maintain appointment calendar electronically
  • co-ordinate meetings and organize catering
  • tidy and maintain the reception and conference areas
  • financial transactions, including accepting cash, checks and credit cards
  • secretarial support

Education and Experience

  • high school diploma required; associates preferred
  • 2-4 years minimum experience as a receptionist
  • General knowledge of administrative and clerical procedures
  • Intermediate knowledge of computers and relevant software applications
  • 40 wpm preferred
  • knowledge of customer service principles and practices
  • bilingual preferred
  • Notary public a plus
