PMO Manager for a New Product Development / Design Company

1. Department Management

  • Creates and continually updates procedures to improve Project Management processes
  • Communicates job expectations and deadlines in such a manner to ensure achievement of the projects goals
  • Responsible for recruiting and hiring all Project Management positions
  • Responsible for understanding the career goals of the employees in his/her department and provide a career path
  • Responsible for managing the PMO’s budget
  • Responsible for all corrective action and termination of department employees that consistently fail to meet the positions requirements
  • Allocates appropriate resources to ensure that projects are managed effectively and are completed within committed time, scope and budget.
  • Provide leadership, direction and coaching on project specific tasks as well as individual professional development. Ability to see, account for, and coach others in the “big picture” as well as the details and to be able to tie initiatives to Corporate Goals
  • Ensure coverage of all areas of expertise necessary to support and grow the business within the Managers area of responsibility. Create and maintain staffing plan to support the current and future work demands and project deliverables
  • Develop Project Management support policies, standards and procedures.
  • Initiates and implements new technologies, methodologies, process and procedures that will support Company long and short term goals.
  • In addition to project and new functionality deployment, responsibilities include career development, performance management and pay determination and communication.

2. Project Management

  • Develops proposals and obtains buy in from the involved business unit owners
  • Directs and manages project development throughout its entire lifecycle
  • Defines project scope, goals and deliverables that support business goals in collaboration with key stakeholders
  • Proactively manages changes in project scope, identifies potential crises and devises contingency plans
  • Secures appropriate resources, in collaboration with the Department Manager, in order to meet deadlines
  • Develops best practices and tools for project execution and management
  • Manages changes in project scope, identify potential crises and devises contingency plans
  • Provides regular feedback to Department Manager and Director on project performance
  • Makes strategy changes, adjustments or improvements to the original plan if project requires
  • Identifies problems outside procedural structure and recommends procedural changes
  • Builds, develops and grows the client relationship vital to the success of the project
  • Sets and manages client expectations and adjust work product as necessary
  • Provides status reports on project progress to client on regular basis
  • Communicates effectively with clients to identify needs and evaluates alternative business solutions

3. Continuous Improvement

  • This Position is responsible for developing consistent processes for the PMO (Project Management Office)
  • This position monitors the company forecast, and is accountable for the fluctuations between projected and actual.
  • The PMO Manager will provide guidance for inexperienced PC’s and PM’s and provide clear growth goals.
  • Ensure all project documentation is reviewed, and is consistent no matter the project or vertical
  • Ensure the Project Mangers are working efficiently and to their full capability. Based on complexity of projects, and the amount of revenue they are managing, the PMO manager will decide when assistance is needed and when a new project can be delegated.
  • Create efficiencies between the PMO and Accounting/Operations
  • Ensures projects are properly staffed. Aids in the decision making process around staffing concerns and disagreements. The PMO Manager understands the critical projects and their deadlines, and can aid in resource decisions based on these priorities.
  • The PMO Manager will set up a mentorship model for inexperienced PC’s and PM’s

4. Accounting

  • Is responsible for measuring performance of all Project Coordinators, and Managers
  • Analyzes project profitability, revenue, margins, bill rates and utilization company wide
  • Monitors the Forecasts and ensures Project Managers and Coordinators are allocating revenue properly


  • Knowledge and skills at a level normally acquired through the completion of a Bachelor’s degree. Advanced degree preferred.
  • 7+ years of professional experience in project work.
  • Proven experience building and fostering growth and development of a project team.


  • PMP certification required

  • Proficient with Microsoft Office applications
  • Skilled at leveraging the experience, expertise and work of others

Tools and Equipment Used

  • Personal computer, copier, fax, phone, displays, iPad and other typical office equipment


  • Occasional—up to 10-20% of the time

Physical & Mental Demands

  • Frequently required to sit at a desk/workstation for long period of time
  • Ability to work at a computer terminal for extended periods of time
  • Digital dexterity and hand/eye coordination in operation of office equipment
  • Light lifting and carrying of supplies, files, etc.
  • Ability to speak to and hear employees/clients via phone or in person
  • Body motor skills sufficient to enable incumbent to move around the office environment
  • Ability to analyze unique situations and develop appropriate response
