BACKGROUND:
Leadership Under Fire, Inc. – The Mission:
To contribute to the technical, physical and mental development of our nation’s Firefighters and Fire Officers through rigorous and forward-thinking conferences, presentations and tactical training programs in order to foster a culture of survival, discipline and leadership with those who have been called to serve in today’s Fire Services.

PRIMARY ROLE:
The Operations Intern provides day-to-day operational support to the CO & leadership staff. This position is based in the Manhattan office.

PRIMARY RESPONSIBILITIES:

  • Assist the CO and leadership team, ensuring an efficient operation to conduct business.
  • Assist the CO in ensuring efficient project & process management of LUF lectures, trainings & conferences.
  • Provide logistics support and coordination of marketing and sponsorship materials.
  • Develop and maintain veteran employment blog.
  • Ensure the schedule, goals, and projects of CO are coordinated effectively
  • Manage contact databases and ensure processes are followed.
  • Assist CO and leadership as gatekeeper for general incoming communications. Maintain knowledge of the ongoing operations of each department and be able to communicate this well to business relationships.
  • Perform routine office responsibilities such as preparing and distributing mail, correspondence and packages.
  • Manage incoming telephone calls and schedule appointments and meetings, preparing follow up materials as needed.
  • Prepare and edit reports, Excel spreadsheets and PowerPoint presentations
  • Assist with organizational events and programs, representing the organization in a professional manner
  • Assigned to coordination of the Werewolf Initiative and Paddy Brown Project.
  • Other duties as assigned or may be necessary

QUALIFICATION REQUIREMENTS:

  • 3+ years prior experience as an administrative assistant preferred
  • Ability to effectively present information and respond to questions from leadership team
  • Interpersonal skills and ability to work well with individuals across all organizational levels
  • Excellent oral and written communication skills
  • Strong organizational skills and attention to detail
  • Ability to prioritize workflow and projects to meet deadlines
  • Ability to work both collaboratively and independently
  • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and database applications
  • Proven skills, initiative and judgment to independently solve problems as they arise.
