Make-Up Designory, a rapidly growing & highly respected licensed private postsecondary school is seeking a qualified full time Administrative Assistant for our New York/SOHO campus. This position provides broad-based, moderate to advanced level administrative support in helping the organization to achieve its goals, e.g. student retention, operational efficiency. As well as assisting the school director.
Prior experience with Post Secondary schools or Universities is preferred!
 Assists School Director with administrative functions and special projects.
 Coordinates supply ordering, maintenance & house keeping issues.
 Work cohesively with Staff and Student Body regarding school and class info.
 Maintain positive working relationships with outside contacts and vendors.
 Assists Admissions/ Financial departments by handling phone/ email catalog requests; mailing enrollment agreements, faxing applications, translating diplomas; maintaining student files and checking for necessary documents.
 Assists Registrar by handling graduation applications, diplomas, and certificates; updating student status at beginning of classes; processing I-20 applications.
 Assist with admissions duties including data entry, filing, receptionist functions, mail processing, records control, printing, etc. as needed.
 Covers reception desk phones as needed; assists other departments with various tasks
 Assists Registrar/Admissions/ Financial/Career Services departments.
 Maintains front desk reception area
 Provides general office duties including customer service, data entry, phone handling, filing, mail processing, records control and printing.

Carries out all responsibilities in an honest, ethical and professional manner.

Candidates with post secondary or university work experience preferred. Successful candidates will have equivalent of High School diploma, some college is a plus, and progressively responsible related experience. Ability to solve practical problems and provide innovative solutions, organize workload, communicate clearly, interact effectively at all levels and across diverse cultures. Strong attention to detail, process improvement, customer service, and quality and results orientation. Ability to function as an effective team member and support and adapt to change. PC skills (Word, Excel, Outlook, etc.)
