Administrative Assistant - Part Time 10 Hours Per Week

The Advertising Agency Administrative Assistant must have:

Significant professional office software/app experience including: Microsoft Office Suite, Adobe Suite, Google Office Apps, Project Management & CRM
Experience working in a similar environment (advertising, marketing, journalism, public relations, research, etc.) is preferred.
The desire to advance in the field of advertising or marketing is a strong plus.
The Administrative Assistant works closely with and supports the needs of key advertising agency personnel. Primary responsibility is to the owner & founder, to whom the position reports, however, the position will also be expected to provide support as requested and for other team members.
Responsibilities include, but are not limited to:
Executive & Team Support
Initial & ongoing organization of office space (within home environment)
Maintain calendar for appointments, calls and meetings
Create agendas for company & client meetings
Help improve company handbooks, training manuals, etc.
Prepare daily mail/correspondence; review packages
Coordinate travel arrangements, travel itinerary and portfolio
Coordinate and oversee document production and minor projects, as requested
Coordinate meetings, including conference room set-up, beverages/food, etc.
Maintain client files, contacts database and record keeping needs
Research, synthesize and compile research and materials needed for important meetings, calls and projects
Draft, review and proofread proposals and reports for clients (PowerPoint, Word, etc.)
Assist with planning special events (business dinners, networking events, etc.)
Plan and prepare written updates to team
Proficiency in Microsoft Word, Excel, and PowerPoint.
Order supplies and equipment for designated practice
Coordinate team members’ performance appraisals
Attend virtual & live staff meetings & client presentations, take notes as needed
Complete special projects as assigned
Financial Management and Planning Assistance
Assist bookkeeper & tax company as needed
Compute personal time sheets and expense reports in a timely manner
Process manager’s invoices, time sheets and expense reports in a timely manner
Team & Individual Development
Contribute to performance appraisal process for peers and managers
Plan, lead & participate in team building activities
Learning & Leadership

"Evangelize" for our company, both internally and externally
Establish and participate in continuing education classes/lessons for our team
