Position Summary:
The Reservation Specialist fulfills reservation requests by determining the rooms and blocks available to meet guest requests. The incumbent verifies guest information and payment options, assigns rooms and responds to customers with confirmation emails or letters. This position also works as a Guest Service Associate as needed.

Responsibilities:

  • Group Reservations
  • Monitor web hotel reservations.
  • Pre- block group reservations, in coordination with Conference Services and Sales departments.
  • Pre-block reservations and rooms well in advance of group arrivals.
  • Order Front Desk supplies as needed.
  • Respond to room availability, individual reservations and small groups through email inquiries.
  • Assign rooms for males and females in blocks on different floors.
  • Keep records of room availability and guest accounts.

Individual Reservations

  • Make and confirm individual reservations.
  • Assign rooms to guests in accordance with 4-H Center room standards.

Guest Services Reponsibilities

  • Greet, register, and assign rooms to guests.
  • Answer inquiries pertaining to hotel services, guest registration, and travel directions.
  • Review accounts and charges with guests during the check-out process.
  • Compute bills, collect payments, and make change for guests.
  • Transmit and receive messages via telephone or email.
  • Enthusiastically respond to any guest query or issue.
  • Contact Housekeeping or Maintenance staff when problems are reported.

Qualifications:

  • High School diploma/GED (Associate's Degree preferred).
  • Proficiency in MS Office including Word, Excel, Powerpoint, and Outlook.
  • Knowledge of Opera software (preferred).
  • 2-5 years experience in guestservice, or hospitality management.
  • Ability to work flexible schedules, including evenings, weekends and holidays.
  • Ability to work independently with minimum supervision.
  • Strong organizational skills and the ability to prioritize.

  • This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
  • Basic math skills needed to calculate change (money), formulas, commissions, discounts, etc.
  • Must be able to lift up to 20 pounds.

This position does not require travel.
