Description: The New Jersey Food Council (NJFC), the statewide trade association for the NJ food retail and distribution industry, is looking for an Events Coordinator/Secretary to join the team. The Events Coordinator/Secretary oversees the events for the New Jersey Food Council and the Food Council Committee for Good Government (FCCfGG) and provides secretarial support to the Assistant Vice President and Associate Director of Government Affairs. Responsibilities include:

As directed by the Assistant Vice President for Government Affairs, assists in coordinating NJFC events, including Annual Meeting, Night of Distinction, Trade Relations Conference, Golf Outing, Food Council Committee for Good Government Breakfast, Loss Prevention Conference, the Holiday Reception with the Board of Directors and other special events. Duties for these events include logistics, promotion and coordination.

Keeps the President, Assistant Vice President for Government Affairs and Financial Manager up-to-date on events.

Attends and assists in the planning of NJFC events, to include conference calls with NJFC committees in identifying locations and speakers for events, preparation of mailings, coordination of reservations, logistics coordination and preparation of name badges.

Interacts with members of the Board of Directors and NJFC members on a regular basis.

Works closely with Financial Manager in invoicing companies for event participation.

On site manager of NJFC events.

Prepares event materials, as needed.

Handles telephone inquiries regarding events and Government Affairs issues.

Maintains computerized database.

Assists with central file system and must be knowledgeable in all functions of the Office.

Secretary to Government Affairs team and works on any and all special assignments.

Qualifications: Three to five years of experience in assisting in the planning, coordination and managing of events required. Excellent written and oral communication skills are a must. Experience with Word, Excel, and Outlook or a similar e-mail system required. Filemaker Pro experience a plus. Some travel, mostly inside the State of NJ, is necessary. This position also requires an ability to thrive in a small office setting with a fast paced environment and balance many projects and tasks simultaneously.
