Essential Job Functions

Office Operations:
-Act as the proxy to the CEO; sets professional tone of the office, maintains the CEO’s image, and is able to speak on behalf of and represent them on multiple issues and subjects; exhibits superb discretion
-Manage a warm, welcoming office environment and keeps CEO informed of organizational issues, potential concerns, and/or conflicts, etc.
-Answer phones and direct all incoming calls appropriately; communicate and handle incoming/ outgoing electronic communications
-Responsible for calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive meetings
-Arrange airline and other travel accommodations for CEO and other executive leadership members and consultants working with NMHI
-Assist CEO with preparation of presentation materials; draft quality correspondences to NMHI stakeholders and others
-Attend all required meetings as needed; prepare meeting materials; record, transcribe, and distribute meeting minutes and reports in a timely manner
-Manage first-line negotiation of contracts; research corporate expenditures and understands budget variances; complete expense reports and code invoices for CEO approval when needed
-Prioritize manage, and take ownership over multiple projects simultaneously and follow through on issues in a timely manner for successful results

Additional Responsibilities:
-Ensures that the CEO is maintaining adequate visibility with key stakeholders (patients, team members, board members, community officials, etc.)
-Represent the practice at various professional, civic, and governmental organizations and meetings
-Run periodic errands to purchase recognition gifts, arrange for event needs, etc.
-Event planning and special project management when necessary
-Other duties as assigned

-Experience supporting executives at high levels; ability to learn the CEO and what is important to their success; understand the rhythm and maintains three steps ahead of the CEO at all times
-Experience interacting with staff at all levels in a fast paced, high pressure environment; proactive, resourceful and efficient, with a high level of professionalism and confidentiality
-Exceedingly well organized and detail oriented; enjoys the administrative challenges of supporting a CEO
-Ability to handle frequent interruptions, changing priorities, and remain flexible; continually improves administrative processes for greatest efficiency
-Experience in project management dealing in multiple task, timelines, and deadlines
-Highly proficient analysis and problem-solving skills
-Expert level written and verbal communication skills; strong judgment and decision-making skills
-Excellent calendar management skills, including the coordination of complex executive meetings; experience scheduling travel arrangements
-Strong knowledge of MS Office, including Word, Excel, PowerPoint, Outlook and Access; highly proficient in creating PowerPoint presentations
-High level of trust, discretion, drive and ownership
-Ability to synthesize information and create reports

-Bachelor’s degree in business and/or
-Master’s Degree in business or related field OR
