Position: Special Assistant to the Chief Executive Officer (CEO)

- CEO Support: S/he is responsible for providing all aspects of strategic, program and administrative support to the CEO and facilitating coordination and cooperation among the organization’s staff and key external stakeholders. S/he will be responsible for the judicious filtering of numerous demands for attention and calendar management, preparations for meetings and travel by the CEO. S/he will coordinate meetings; prepare and distribute meeting agendas and supporting materials; manage the flow of incoming correspondence, screen and respond to email; prepare CEO’s expense reports.
- Relationship Management & Communications: Prepare the CEO and Team for meetings by conducting research and preparing briefing packages. Support all of the required follow-up from meetings and conversations including developing strategy and drafting correspondence. Work on proposal development, presentations, marketing materials and reports. Maintain contacts and database entries. Safeguard and foster positive external relations and public perceptions. Facilitate excellent internal relations, staff coordination and communications.
- Office Management: Maintain all necessary systems for tracking correspondence, current clients obligations, contacts, Fellows, interns and prospective client research. Take lead responsibility for office filing, data basing contacts, ordering supplies, furniture and equipment and maintaining office equipment and office environment. Liaise with vendors. Review and code bills from vendors. Take lead on handling incoming calls and mail, directing it to the right person as needed.
- Program: Work as an integral team member and conduct all other activities required to ensure successful daily operations and highly effective management. Depending upon time availability and overall needs of the office, s/he will be part of teams and support Analysts working to accomplish organization goals.

o 2-years minimum experience supporting C-level executive.
