Duties include:
 Filing of physical documents (Inbox, To-Do and other invoices and contracts
 Scan and file the same documents into the electronic document management system (training will be provided remotely)
 Scan and email invoices, receipts and other accounting related documents to our back office accounting office
 Some data entry of receipts may be required from time to time.
 Communicate with, set up appointments for, and send information to potential recruits. Send out standard information for employees
 Set up appointments for Director of Finance and CEO; screen calls; send emails on their behalf when directed
 Source candidates for recruitment or work with back-office to do the same when appropriate
 Maintains contract tickler files and reminder lists of to-dos. Ensure timely submission of documents on government contracts
 Be ready to assume the functions of the Information Security Officer – a clerical job requiring filing, meeting minutes taking, and informing people about events as they occur
 Other odd jobs – procuring supplies for the office, placing orders for things like business cards, office water supply, and occasionally lunch orders when meetings are conducted on site.
 Handling the front office administration.
 Keeping office premises organized, tidy, clean and presentable.
