Job Title: Meeting Planner
Immediate Supervisor: CEO
Full time; Exempt Employee

Position Summary:
Primary responsibility will be to plan and oversee all aspects of our annual symposium including site visits, contracts, exhibits, advertising sales, speaker communications, food and beverage and audio visual. Other responsibilities include overseeing regional chapter programs, contracting with hotels for board meetings, recruiting new exhibitors, working with sponsors to finalize their corporate support and on satellite symposia events and working as a team on other events as they arise.

Key Responsibilities:

  • Communicate with all speakers, hotel staff and exhibitors
  • Secure and reviewing contracts for audiovisual, security and on-site decorator
  • Work with the PR/Marketing Manager to produce timely and accurate marketing materials, including exhibit prospectus, program brochures, attendee directory, web site updates, and all related invitations and promotions of the event
  • Assist CEO in creating opportunities for sponsors and donors to support the annual symposium and related events
  • Appropriately recognizing all sponsors and donors
  • Facilitate site selection for future events
  • Coordinating annual symposium program, schedule and locations with BOD/program planning committee
  • On-site set-up of booth and supervision and training of Convention and Visitors Bureau personnel
  • Responsible for ensuring a strong and growing attendance and exhibit growth
  • Secure hotel space for 3 board meetings per year
  • Assist CEO in the development and management of the annual symposium budget

Experience and Qualifications:
Candidate must have 2 years of related meeting planning experience, a bachelor’s degree; Certified Meeting Professional preferred; Ability to think critically and creatively to problem solve, take initiative, work independently, be versatile and adaptable in a changing environment, and work collaboratively with a variety of individuals. Attention to detail and ability to prioritize multiple tasks is a must. Excellent computer skills required including MS Office; excellent oral and written communication skills. Travel is required 3+ times per year, up to 15 days out of office. Candidate will be full time and must work out of Madison, WI office.
