Under the direction of the Director of Human Resources, the non- exempt Front Desk Coordinator will be respon¬sible for the duties summarized below. The Coordinator relates closely and responsibly to the Director of HR, advising any prob¬lems, as well as progress, in performance of duties.
Essential Job Functions
Responsible for ensuring all mail is processed daily. This includes opening, sorting, delivering, and mailing.
Manage all incoming calls and direct them to the appropriate individual. Also includes assisting with estimating phone calls that need to be made prior to bidding a project.
Manage all office supply orders for entire company including job sites. Try to seek ways to control cost.
Responsible for all mail packages. This includes but is not limited to FedEx, UPS, and Golden State Overnight. Ensure that all shipments are tracked properly and received packages are delivered to the named individual.
Assist Operations Managers with any administrative needs including change orders.
Manage all Ricoh copiers which include calling for service, making service appointment and maintaining service binders.
Manage Pre-Liens which includes faxing out information and filing requests.
Responsible for off-site records orders.
Manage job site office equipment including data entry and updating records.
Create and deliver weekly job site payroll envelopes every Thursday.
Knowledge, Skills and Abilities Required
Two or more years of professional experience in office environment.
Effective and clear verbal and written communications to individuals and groups.
Proficiency with Word for Windows and Excel.
Ability to carry out tasks and bring projects and assignments to closure.
