Job Title: Legal Assistant
Location: Waseca, MN
FLSA Status: Non-Exempt
Complete specialized administrative and clerical support activities with accuracy and provide exemplary customer service to exceed client expectations. Contribute to the discovery, development, delivery and expertise of Schmidt Hoehn Law Office’s services including Elder Law, Real Estate Law, Estate and Legacy Planning, Business Law, Probate Law, and other specialties.
*Prepare real estate files and closing documents with exceptional accuracy.
*Provide secretarial support by transcribing tapes, drafting correspondence, reports, memoranda and other legal documents and submitting for review.
*Proofread and edit work for phraseology and for proper legal form.
*Review and route incoming correspondence.
*Develop and maintain well organized client files, resource materials and administrative files.
*Schedule and confirm appointments in a professional, proactive manner.
*Receive, screen & route telephone calls and greet clients with exceptional customer service.
*Interact and provide support or serve as a liaison to business partners, outside counsel, office staff, expert witnesses and vendors.
*Assist with legal research.
*Notarize documents as needed.
*Order office supplies as needed.
*Demonstrates advanced knowledge of Schmidt Law Office’s business mission, processes, policies & practices and applies knowledge within own work areas to develop work results.
*Other duties as assigned.
»Associates degree in legal secretarial studies or completion of an equivalent program at a business school or vocational institute.
»Minimum of 2 years’ experience as a legal assistant in a law firm, social services or other client centered organizations. Previous Real Estate experience preferred.
»Proficient PC skills with intermediate to advanced word processing skills.
»Strong verbal and written communication skills including proper grammar, punctuation and spelling.
»Strong attention to detail with exceptional proof-reading skills.
»Demonstrated use of discretion and diplomacy as well as maintaining strict confidentiality.
»Ability to handle competing and changing priorities effectively while meeting deadlines.
»Prompt, self-starter demonstrating sound judgment, initiative and ability to proactively solve problems.
