LOGISTICS ADMINISTRATIVE ASSOCIATE (Temporary, Part-time, up to 30 hours)
Sharp Clinical Services, formerly Bilcare Global Clinical Supplies, is seeking a part-time administrative associate for its warehouse in Phoenixville.
The Logistics Finance Coordinator is responsible for creating and maintaining customer invoices related to the Logistics operations performed at Sharp Clinical. He/She will generate monthly Logistics invoices for the services provided by Sharp Clinical. He/She will be responsible for sending the invoices to Sharp Clinical’s clients, following up on open invoices, and resolving any discrepancies communicated by Sharp Clinical’s clients.
Essential Duties and Responsibilities
Is the key contact between the client and Sharp Clinical Logistics responsible for the financial aspects of logistics related functions, including receiving, monthly project management, distribution, returns, and destruction.
Reference approved quotes for logistics and invoice the client appropriately based on the Logistics services provided by Sharp Clinical.
Audit quote against procedure as the project develops.
Provide feedback to management to improve new and existing processes.
Investigate all distribution invoice related issues.
Prepare and maintain logistics billing reports and generate invoices electronically
Prepare invoices through SAP R3 inclusive of all support documentation associated with the invoices
Assist with other key SAP transactions
Exercises discretion of all Distribution invoicing processes and issue resolution
Assist with the preparation of month-end tasks as assigned.
Assist with the collections process as needed.
Review all work for accuracy.
Comply with all cGMP guidelines
Adhere to set safety standards.
Participate actively in regular meetings.
Achieve expected performance measures.
Other duties as assigned.
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required..
Bachelors’ Degree or equivalent in Business, Logistics or related field; Three to five years related experience and/or training; or equivalent combination of education and experience.
Ability to solve practical problems and deal with a variety of concrete variables in situation where only limited standardization exists.
Excellent oral and written communication is required to communicate with the team, peers, management and external contacts. Ability to speak effectively before a group of any combination of the above.
Working knowledge of personal computers and Microsoft Office Products, including Word, Project and Excel
Must have the ability to work in a cross-functional team environment
Effective communication, organization, planning, initiative, follow-through, and responsiveness skills are a must.
Knowledge in pharmaceutical and/or international shipping is preferred.
