SPY is seeking a highly motivated, Human Resources Assistant. This position reports to the Human Resources Director and is based at our Carlsbad, California headquarters.
Responsibilities include, but are not limited to the following:
Work with the HR Director and division managers and administrative staff to plan and administer recruiting activities including sourcing candidates, scheduling and conducting interviews and reference review, offer packages and new hire orientation.
Review and sort incoming resumes to the hiring manager for each position.
Post employment ads.
Prepare New Hire paperwork and conduct new hire orientations
Maintain employee files
Assist with the review and implementation of policies and procedures to assist the company with compliance of state and federal employment requirements.
Maintain employee files and records in accordance with California and Federal laws.
Coordinate and assist in scheduling needed employee training as required.
Assist with the administration of the implementation of company’s group benefit programs.
Add or remove employee enrollments under each plan.
Update Employee information on BenTrac and Conexis (COBRA) website as needed (new hires and terminations).
Assist with administration of stock agreements (create agreements once information is received from accounting) and coordinate and track outgoing agreements (needing signature) and incoming signed agreements.
Process bi-weekly payroll (ADP Workforce Now)
Verify accuracy of timecards
Maintain vacation and sick accrual report and payroll reports
Process Garnishment Checks after each payroll
Enter 401k payroll updates each payroll
Maintain attendance and employment records (ADP, Personnel Files and attendance calendar).
Update employee lists and reports (roster, time and attendance, extension roster, emergency phone roster)
Assist in set-up and maintenance of state tax, disability and work comp compliance for each state we have employee’s
Process workers compensation claims.
- Minimum of 2+ years successful track record in Human Resources.
- Bachelor’s degree preferred
- Proficient in the use of Excel, Word and Outlook
- Experience with ADP Workforce Now software preferred
- Superior written and verbal communication skills
- Strong attention to detail
- Strong organizational and analytical skills
- Ability to handle multiple projects and work in an autonomous environment with minimal direction or supervision
- Ability to prioritize daily, weekly and monthly workload
