Under direct supervision, the Administrative Clerk will provide office support services to various departments within the organization.
Essential Duties and Responsibilities:
Assist with office support by organizing office operations and procedures; managing correspondence; determining priority, format, and other requirements by reviewing instructions or references and maintaining filing systems according to established procedures.
Ensure efficient and effective phone coverage to assist in communicating with affiliate and corporate support groups.
Assist in receiving, sorting, distributing and processing all incoming and outgoing mail to include packages from Airborne, Fed-ex, UPS and USPS.
Assist in processing and reconciling travel and expense reports, timesheets and invoices in a timely manner.
Maintain internal and external meeting schedules, maintain calendars for department personnel; Arrange meetings, conferences, teleconferences, and travel schedule clarifying travel preferences by determining travel dates and destination, mode of transportation, and relevant cost savings for STE; Schedule itinerary by identifying, booking, and confirming route, carriers, lodging, and dining.
Ensure efficient operation of office equipment by completing preventive maintenance requirements; calling for repairs; and maintaining equipment inventories.
Maintain supply inventory by checking stock to determine inventory level; anticipate needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies.
Enhance department effectiveness by providing information, answering questions and request and providing management support.
Maintain databases and reports and resolve administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
Provide coverage for the Receptionist during breaks and lunch hours using the IntelliDesk system.
Education, Knowledge, and Experience:
High school diploma or General Education Degree (GED) required; minimum two years experience in office Administration and/or training; or equivalent combination of education and experience.
Knowledgeable in all Microsoft Office applications including, Word, Excel, Access and PowerPoint software applications.
Excellent verbal, written, organizational and communication skills.
Ability to work in a fast-paced environment and handle multiple projects.
