POSITION: Administrative Assistant
REPORTS TO: Service Center Manager of Albany, NY
POSITION TYPE: Non-Exempt, Full Time
SALARY RANGE: $16-$20/ HR
Physical & Environmental Factors:
- Must be able to sit for long periods of time working on a computer workstation and/or phone
- May require lifting of accounting file boxes up to 25 lbs.
- Ability to work a 40 hour work week schedule Monday through Friday with overtime as needed
- Process daily worksheets, time cards, time off requests, and other paperwork
- Scan and file documents and photos to network drives and third party websites
- Order office supplies, maintain inventory
- Forward receipts and paperwork to Accounting Department
- Distribute, maintain and balance petty cash account
- Handle mail and UPS packages
- Communicate with clients and vendors with professionalism
- Answer phones, take messages, forward calls
- Book travel arrangements
- Other duties as needed
- Create and issue invoices to customers
- Support Retail Services division with billing for New York customers
- Track and monitor billing activity
- Communicate with Retail Services, Accounting and Operations to resolve issues
