JOB SUMMARY
The APeX Application Analyst functions as the primary support contact and expert for the application. They work under the direction of the Team Lead and/or Manager to configure, build & install the application. They coordinate all issues that arise during the project for their application area. Key operational activities include primary responsibility to analyze work flows and understand policies, procedures and constraints of the clinical or business operations support by the application. In depth and precise investigation and documentation of operational specifications and application functionality is required. Key technical activities include the analysis of new releases to determine how workflow should be modified, building and populating databases and tables during initial system configuration, conducting system testing and conversion data validation. The application analyst develops and documents internal procedures and establishes change control processes for the application.
The APeX Application Analyst also develops user training aids and trains end users in workflow and use of the application. They functions as the primary contact to troubleshoot problems and questions from end-users during training, go-live, stabilization and on-going support (7x24). Successful candidates are skilled communicators who made decisions independently and in collaboration with others up and down the project structure. Attention to detail is a critical skill for this position. Successful candidates enjoy helping other user to learn and adopt to use of the application.
The APeX Application Analyst/Clinical Documentation must achieve certification and support one or more of the following APeX applications:

  • Clinical Documentation
  • OB/L&D
  • Ambulatory EMR
  • Emergency Department
  • Procedural Areas

Below is a description of the scope/responsibilities of the different levels:
Application Analyst I (PSS 6) * Completes specific design/build or analysis as a component of an overall project

  • Receives direct supervision and work is reviewed.
  • May have primary responsibilities for small projects or systems

o Works primarily with individual users and small workgroups to identify and resolve issue
o Must obtain certification of Epic Application and re-certification per release
Application Analyst II (MSP 2) * Scope of projects is primarily individual projects or a small group of projects with primary impact within the organizational unit. Leads successful completion of major programs with cross functional team

  • Works independently and in consultation with team lead and/or manager
  • Application expertise to define system design requirements and develop/implement complex application components
  • Able to negotiate scope/approach with team, end users and IT infrastructure partners
  • Must obtain certification of Epic Application in one or more applications and re-certification per release

Application Analyst III (MSP 3) * Develops/design advance/complex programs and guides their develop with members of a cross functional team

  • Works independently and in consultation with team lead and/or manager
  • Application expertise to define system design requirements and develop/implement complex application components
  • Able to negotiate scope/approach with team, end users and IT infrastructure partners
  • Must obtain certification of Epic Application in one or more applications and re-certification per release
  • Can serve as team lead to coordinate/supervise team members within a discipline or across multiple disciplines assigned team lead/manager

Application Analyst IV (MSP 4) * Develops/design advance/complex programs and guides their develop with members of a cross functional team

  • Works independently and in consultation with team lead and/or manager
  • Application expertise to define “integrated” system design requirements and develop/implement complex application components
  • Able to negotiate scope/approach with team, end users and IT infrastructure partners
  • Principal contact for resolution of complex integrated issues and/or solutions
  • Proficient with Chronicles and bridges
  • Must obtain certification of Epic Application in multiple applications and re-certification per release along with chronicles and bridges certification
  • Can serve as team lead to coordinate/supervise team members within a discipline or across multiple disciplines assigned by manager

REPORTING RELATIONSHIPS
This position reports to the APeX Lead Application Analyst (Level III/IV) and/or Manager in their designated area.
DUTIES & ESSENTIAL JOB FUNCTIONS Percentage of Time Spent
Configure, build, install & support the application 30%
Analyze, document and adjust workflow to maximize application functionality 20%
With subject matter experts, develop and document precise operational specifications and match these to system capabilities 10%
Complete assigned project deliverables accurately and on time 20%
Facilitate workflow validation & system testing 10%
Support end-users and facilitate end user adoption 10%
OTHER FUNCTIONS AND RESPONSIBILITIES
The APeX Application Analyst also must lead group discussions and present in front of groups. The candidate should be able to manage multiple and competing tasks. Anticipating and preventing issues is a primary function of the APeX Application Analyst. Prompt identification, escalation and resolution of issues are required.
REQUIRED QUALIFICATIONS

  • College level degree or equivalent healthcare operations and/or application work experience

o Application Analyst I : 1-2 years or less
o Application Analyst II: 2-4 years or more
o Application Analyst III: 3-5 + years
o Application Analyst IV: 5 + years

  • Excellent logic, verbal and math skills
  • High functioning team skills, including active listening, rapport building, effective written & verbal communication, receiving and delegating work assignments and escalating and resolving problems
  • Successful completion of required Epic training and achieving certification (one or more) in order to retain position within one year of accepting position.
  • Available for 7X24 application support

PREFERRED QUALIFICATIONS

  • Academic medical center experience
  • Years of Epic Experience

o Application Analyst I: 1-2 years or less
o Application Analyst II : 2-3 years or less and/or clinical licensure (ie) RN, Rph
o Application Analyst III : 2-4 years or more and/or clinical licensure (ie) RN, Rph
o Application Analyst IV : 3-5 years or more and/or clinical licensure (ie) RN, Rph
REQUIRED LICENSES/CERTIFICATIONS

  • Epic certification in one or more applications
