We have an immediate opening for a regular full-time Supervising Medical Records Clerk.
Under the general supervision of the Director of Operations, the Supervising Medical Records Clerk provides training, direction and guidance to Medical Records, Medical Assistants and support staff for the appropriate assembly, maintenance, handling and tracking of patient health records. As a health information professional, the Supervising Medical Records Clerk is responsible for setting standards in recordkeeping practices, to adhere with compliance and quality control policies set by the health center. As the lead in charge of overseeing Medical Records staff, the position enforces policies and works to ensure proper measures are being taken by all staff to protect the integrity of records, identify any omissions or misfiling, document and correct any improper handling of records with a focus on reducing opportunities for future errors. The role also plays a key part in the implementation and maintenance of the electronic health record management system, acting as liaison with IT staff and working with vendors or appropriate staff to resolve any issues in the conversion process. Position is also responsible for the review of workflow and process within the department, establishing systems to crosscheck activities and ensure staff are properly trained and supported in their job function(s). The Supervising Medical Records Clerk is responsible for screening, interviewing, making recommendation for hire and corrective disciplinary action as appropriate for all medical records staff.
Candidate must possess proficiency or the potential to develop proficiency in supervisory competencies that include: accountability, customer services, decisiveness, flexibility, integrity/honesty, interpersonal skills, oral communication, problem solving, resilience, and written communication. Excellent communication skills at level necessary for understanding and relaying instructions to participants and for accurately documenting participants’ information. Ability to effectively communicate with participants’ population and staff while demonstrating a high degree of diplomacy and tact. Knowledge of medical record keeping principles and practices. Knowledge of medical terminology, standard nomenclature and classification of diagnoses and operations. Knowledge of clinic-wide policies and procedures.
Knowledge of the principles and practices of supervision. Ability to train and evaluate subordinates and to plan, assign and review their work. Ability to maintain satisfactory relationships with other employees. Ability to work effectively with all staff members, multi-task and work effectively in a high-stress and fast-moving environment.
High school graduate or equivalent required; Associates’ degree or certification in the administration of medical records.
The candidate must possess a minimum of three years’ experience in a position of authority working with health or patient records in an administrative capacity required.
