Executive Assistant to Chairman- Job Summary

The Executive Assistant to our Chairman performs project coordination and administrative duties. This position entails a variety of projects, many of which include in-depth research, summarization of findings and next step recommendations. Daily responsibilities include answering and screening calls and making travel and meeting arrangements. This is a part-time position, around 20 hours per week.

Job Responsibilities

1. Projects:

  • Social Media: the creation and upkeep of social media initiatives including Flickr, Facebook and blogs
  • Travel: Organization of media (photos, brochures, etc.) from previous travel or during the Chairman’s travels for use in future projects or for social media need fulfillment; Creation and maintenance of Travel Itinerary site, may involve creation of media for advertising the initiative
  • Assist in preparing material on the sub cultures of Spanish society
  • Organizing presentations on traditional Spanish culture
  • Create and adhere to project milestones

2. Administrative Duties:

  • Manage the Chairman’s calendar and independently schedule appointments and meetings
  • Arrange complex and detailed travel plans and itineraries
  • Ensure the Chairman is prepared with necessary materials for all meetings and travel
  • Answer incoming calls and correspondence and responses
  • Coordinate internal and external events/conferences ad commitments in cooperation with the Tienda Inc staff.
  • Compose and prepares confidential correspondence, reports, and other documents
  • Retrieve and process mail daily
  • Maintain corporate files for the Chairman
  • Exhibit strict confidentiality with all information relating to scheduling, travel, expenses and compensation

3. Perform other related duties as required

Other Required Skills

  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Proficiency in using a variety of computer software applications, especially Microsoft Office
  • Knowledge of Social Media Sites such as Facebook and Flickr
  • High level of interpersonal skills to handle sensitive and confidential situations and documentation
  • Knowledge of office administration procedures
  • Ability to operate most standard office equipment
  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines, well-organized
  • Good to excellent spelling, grammar and written communication skills
  • Ability to maintain a high level of confidentiality
  • Bilingual English and Spanish strongly preferred
