Who we're looking for:

  • A career administrative or executive assistant with 5+ years of experience working with C-level executives at a start-up preferably in tech
  • Demonstrated intelligence, creativity and passion through your life's pursuits
  • Ability to have fun with co-workers while at the same time being discreet; a strong sense of integrity and trust is paramount
  • Outstanding communication, organizational and problem-solving skills; demonstrable initiative and flexibility
  • People love to talk to you and you're completely comfortable interacting with them, especially executives and engineers
  • A passion for technology
  • Can-do, make it happen attitude
  • Comfortable making decisions with little supervision or direction; you take the initiative
  • Flexible, enthusiastic and comfortable in a high-energy and ever-changing work environment
  • Even-keeled and able to handle pressure in a professional manner
  • Unafraid to say no or exert your opinion, influence and expertise in a personable way when necessary
  • Strong internet research skills and comfortable using web applications for travel booking, expense reporting, conference calling, meeting planning and archive management
  • Flexibility to respond to pressing needs outside regular office hours when necessary
  • You live in San Francisco close to public transportation
  • Authorized to work in the U.S.
  • It's great if you possess a BS/BA degree, but equivalent experience in this field is worth a lot, too

The role:

  • Perform a wide variety of administrative and support duties on behalf of or in conjunction with co-founders/CEO
  • Regularly handle critical, highly sensitive and confidential matters
  • Coordinate setup of new employees including on-boarding facilitation
  • Oversee and coordinate all office space planning needs
  • Maintain department organization charts, phone lists and third-party vendor relationships
  • Perform administrative tasks including, but not limited to, managing schedules, handling correspondence, preparing reports and setting up meetings
  • Arrange travel (international and local) when needed
  • Prepare expense reports, handle accounting tasks and liase with accounting team
  • Familiarity with immigration visas helpful
