Project and Executive Administrator reporting to the President and CEO of privately held heavy industrial construction firm, while supporting several management staff. Demanding administrative assistant position necessitates heavy deadlines with frequent interruptions requiring an organized, patient and detailed person who can remain calm and focused.

Receives bid requests, coordinates documents and manages extensive manual and log preparation and maintenance. Coordinate and prepare RFP materials, vendor and subcontractor information and documentation for project execution and completion. Assist in pricing requests and quotations for filing RFP in a timely manner. Handle confidential work for CEO and President. Is the “go-to” person in the office for overflow tasks and maintains IT back-up, office equipment and company construction equipment.

Preferred Background: Heavy industrial construction office setting. Full MS Office Suite proficiency, including some graphics. Heavy experience with bids, RFP’s, statistical tables, subs, vendors and field construction management personnel. Will be asked to run personal errands. Very helpful if have Timberline, Primavera and bi-lingual in Spanish. Casual business attire. Full benefits provided.

Company was established in 1977 and has 300 employees, with most employees deployed on projects throughout the US. This position is located in the home office in Houston and no travel is expected.
