Position: EXECUTIVE ASSISTANT / OFFICE MANAGER
The responsibilities of this role are to support UGI Executives and the controller, as well as general office management\administration with the opportunity to grow towards future roles in our real estate investment company. This is a full time position.
JOB DESCRIPTION: PRIMARY DUTIES AND RESPONSIBILITIES:
Provide administrative support to executives, controller and other managers in collaborative manner.
Provide personal assistant support to the CEO
Coordinate meetings for the UGI team
Book travel: plane tickets, car services, etc.
Coordinate execution of documents
Scan and fax documents
Maintain filing system (hard copies and in electronic database)
Run errands for the UGI team
Take on various projects such as creating lists in spreadsheets using excel
Coordinate e-mailings using online database systems (Sales Force and iContact)
Research, as needed
Development of presentations and research data into excel spreadsheets and PowerPoint
Overall office management
Assume responsibility for project level billing and other entry-level accounting tasks
Process, distribute and send out packages, mail, FedEx
Answer UGI general phone line and front door
Organize office by keeping kitchen, bathrooms and office tidy between cleanings
Order office, kitchen and bathroom supplies
Candidates for this Position should hold the following qualifications and be able to demonstrate the following abilities to be considered as a suitable applicant. Please note that except where specified as “preferred,” all points listed below are considered minimum requirements.
QUALIFICATIONS / SKILLS
Graduate degree within 5 years
Motivated, youthful, energetic attitude & go getter
Real estate experience preferred
Microsoft Word, Excel, Outlook essential
Strong detail orientation with the ability to track multiple tasks at once
Self starter with the ability to work with a team and independently with minimal guidance
Solid interpersonal skills and a confident outgoing personality with the ability to make lasting relationships inside the Company and with its clients
Excellent verbal and written communication skills, excellent sense of prioritization, time management ability, Team-oriented and self-motivated, good project management ability
Sense of humor!
TRAINING PLAN/EVALUATION STRUCTURE:
Minimum training and orientation to the UGI systems and structure will be provided to all new hires. Frequent evaluation for performance and compensation review
