We are currently looking for a truly exceptional person to fill the role of Executive Assistant with a strong sense of confidence, comfortable working in a fast-paced environment with highly sensitive information, tight deadlines and multiple priorities. This position provides high-level, confidential administrative support to the Executive Administrative Departments. Must have high energy, be proficient, organized and capable of multi-tasking in a high paced environment. Duties include clerical, administrative, and primarily involve projects, arranging meetings, handling information requests, preparing reports/presentations scheduling travel, correspondence and liaising with all levels within the organization as well as customers, vendors and the general public.
This position is privy to confidential information and as such, requires diplomacy and discretion. Also is responsible for developing and providing oversight of records management, including training others to follow established records guidelines, identifies historical and permanent records and ensures records retention policies are adhered to.
Willing to take initiative on routine matters is expected and supporting multiple senior level executives is required. Willing to work a flexible schedule depending on deliverables.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Performs diversified administrative support duties including, but not limited to typing correspondence, arranging meetings/conference calls, making travel arrangements, preparing presentations, answering phones, receiving visitors, filing, mail processing, ordering supplies, receptionist coverage, and payment of invoices.
Participates with special projects.

Strong conceptual and analytical orientation; intellectual curiosity and unstructured problem-solving skills. Ability to be loyal and maintain strict confidentiality related to sensitive information that may pass trough the Executive Director’s office.
Excellent verbal and written communication skills to effectively deal with all levels of personnel, customers, and visitors.
An understanding of basic math and accounting principles.
Aptitude in problem definition, data collections, fact finding, and drawing valid conclusions
Highly proficient with Microsoft Office (Word, Excel, and PowerPoint)
