Wärtsilä North America is currently seeking an Administrative Coordinator in the Human Resources department in the Houston, Texas office.

Please note: local contract only; relocation/immigration is not covered for this position.

Accountabilities:
The Administrative Coordinator assists with the day-to-day operations of the Human Resources department. The Coordinator provides administrative support to the Director and other team members and carries out responsibilities with limited supervision in some or all of the following functional areas:
Resourcing & Recruitment
Competence Management
Training & Development
Performance Management
Job Rotation & Mobility
Compensation & Benefits

-Must maintain confidentiality and a high level of integrity at all times.
-Performs professional level tasks requiring independent judgment, initiative and tact.
-Assists HR Director with various research and/or special projects.

Main responsibilities:
-Acts as receptionist for Human Resources department.
Processing and coordination of SAP workflow items for local and/or area invoice coding and approval.
-Maintains all employee files legal compliance.
-Processes business card orders for employees in all locations.
-Assembles and distributes new hire packets, employee handbooks, employee communications, etc.
-Maintain employee photos for ID and entry badge system.
-Coordinate Drug Free Workplace Programs.
-Makes photocopies, faxes/scans documents and performs other clerical functions.
-Processes incoming and outgoing mail and expedited packages.
-Prepare employee invitation/verification letters and other communication as needed.
-Participates in administrative staff meetings and attends other meetings and seminars.
-Performs other related duties as required and assigned.
-Maintains and continuously updates W drive within scope of responsibilities.
-Assists Director with travel arrangements and expense reporting
-Set up and maintain filing system

Development responsibilities:
-Develop and maintain operating procedures for own role and responsibilities.
-Maintains and continuously updates shared drive within scope of responsibilities.

Skills & Educational Requirements:
-High School Diploma required. College degree preferred.
Minimum of 3 years administrative support experience at an executive level required.
-Prior knowledge of principles and practices of human resources preferred.
-Requires effective oral and written communication skills, excellent interpersonal skills, and advanced knowledge of Microsoft Office.
