So the Exce. VP's two assistants are out and he asked me to write a letter and sign it on behalf of him and he rushed out...

so do I have his name and title printed out as usual and sign my name above it and put in paranthesis (on behalf of so-and-so)

or do I sign and then print "my name, on behalf of Exec VP so-and -so"?????

Also, is it

Dear Bob,

My first instinct would be to pull a hard copy or electronic copy of a previous letter and look at the format.

When I've signed for someone, I've been instructed to use,

Sign the person's name/sign my initials

The only time I've used "sent on behalf of ..." is to start e-mails, ie, at the top

Sent on behalf of Mr. Joe B. Smith, VP, ...
and the e-mail message.

When signing a letter I have created on behalf of someone else, I sign the person's name or if they have a signature on file (this could be a stamp or in an electronic file) I use it on the closing line but then I place my initials close to the signature, so that the person reading the letter knows that I wrote it.

I usually sign the person's name and put my initials close to the signature.

Also, below the person's name and title, I type in small font: "Signature applied in XXX's absence to avoid delay in mailing".

The reader will get the in hint.

Either one is correct. If you have to sign for someone, type the person's name and title, sign your name and underneath write the word "for".

I would put Dear Mr. _______ : I would not use a first name. If my boss wants to personalize the letter, he will strike out the Mr. and write in the person's name by hand to make it more personal.

In my office if I sign on my boss's behalf (only if requested by him) I will sign my name and put 'for' beside the typewritten name of my boss. I never sign his name as that would be forgery. I work for a law firm and that is also what all the other lawyers do when they sign on another lawyer's behalf, they sign their name and put 'for' beside the author's name.

The way I sign his or her name is:

Sign your name and put s/ before it such as:

s/___________________________ (your signature)
Anna Smith (your bosses name)
