Job Description:
This position is responsible for maintaining the accounting/fiscal records and processing all associated documents for the Department of Community Health and Family Medicine and reports to the Coordinator, Administrative Services. This Accountant will utilize knowledge of all aspects of the daily operations. Sources of funding include state allocations, Dean’s allocations, contracts & grants, FCPA , MG&G, UF Foundation, Research foundation and returned overhead funds. An extensive knowledge of the rules and regulations of the University of Florida, State of Florida, federal and other funding agencies is required to operate effectively and efficiently.

Essential Job Functions:
1.Reconciliations: Reconcile accounts/grants/contracts by expense, salary, overhead and income monthly for reporting purposes.
2.Accounts Payable: Initiates the preparation and approval for payment of invoices, reimbursements and purchase order requests from outside vendors, then codes for accurate use of department ID, fund and program, and use of grant monies. Responsible for the ordering of supplies, materials and equipment used by the department. Must be knowledgeable of expenditures, price quotations, and bid requests.
3.Accounts Receivable: Prepare invoices. Maintain invoice and deposit log keeping track of all accounts receivable payments. Prepare deposits. Verify credits on department ledgers.
4.Travel: Review each travel before it is entered into PeopleSoft for availability of funds, to ensure that no traveler exceeds their budget.
5.Property Management: Departmental contact person responsible for organizing and maintaining the department’s inventory, which includes property decaling, maintaining an overall inventory control data system.
6.Budget: Work with Coordinator, Admin Services and Associate Director to establish expense, overhead, and income budgets annually for all accounts and contracts.

Minimum Requirements:
A bachelor’s degree in an appropriate area of specialization; or a high school diploma and four years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications:
1.Knowledge of bookkeeping principles and practice
2.Ability to implement accounting policies and procedures as related to the University of Florida, College of Medicine, and other units
3.Skill in serving as department liaison with other departments
4.Ability to work independently
5.Ability to prioritize assignments, ensuring timely and accurate work completion
6.Knowledge of Microsoft Word, Excel, and Access.
