Job Description:
Responsibilities include preparing monthly grant reports for PIs and managing grant tracking in the database. Monitors grant billing procedures and invoicing as related to departmental grants. Assists Director and Assistant Director with account reconciliation as needed. Reviews all grant, IDC and startup account reconciliations monthly and assures accuracy. Presents status of grants and grant-related accounts to supervisor at monthly meetings. Maintains auditable accounting records and assists principal investigators in any reporting that may be required by various granting agencies. Monitors budget projections on all grants. Anticipates shortfall/surplus and counsels with PI to discuss options/solutions.

Primary contact for Academic and Non Academic Activity Reports. Completes the on-line report, gleaning information from the Faculty Assignments Reports and adhering to all grant guidelines as to type of activity which can be performed on a particular salary source. Communicates with staff/ OPS to ensure on-line reports for Non Academic Activity employees is correct. Spreads each employees faculty’s activity on each salary source so that total activity equals appointed FTE and conforms to the “Twelve-Hour Law”. Confers with other departments and colleges to obtain all effort sources, both funded and non-funded so that appropriate loan, borrow, and cost-sharing entries can be accurate. Provides back-up for the Office Assistant for the Non-Academic Activity Report, if needed. Works with faculty/staff to ensure reports are certified by each employee and address any concerns/changes they have with the report. Gathers and inputs Instructor Workload data into NERDC system for state funding reporting every semester for 55+ faculty members for all the classes offered by the department.

Assists the Accounting Administrative Services Coordinator with the preparation of annual budget and provides detailed backup for figures presented in budget reports and forecasts. Oversees the preparation of other financial reports to assist the Accounting Administrative Services Coordinator to better understand departmental financial needs and identify areas for improvement. Creates Faculty P&L statements on a quarterly basis for 60+ faculty members and an overall summary for the divisions incorporating Clinical Revenue, Contractual Revenue, Grant Revenue, and Educational revenue brought in by each faculty member versus actual cost of each Faculty Member.

Personnel Duties: Distribute all personnel, faculty and staff (salary and OPS ) into PeopleSoft according to budgets and project checklists. This amounts to over 200 employees accounting for approximately $16 million. Completes the Form 260 for Psychiatry employees who are listed on grant budgets in other departments. Contacts other departments to insure their employees are correctly appointed when they are listed on grant budgets in our department. Ensures state dollars received for faculty are budgeted accordingly and distributed as budgeted to spend all available state funds.

Reviews the missing distribution lists to make sure all new employees’ distributions are entered on time to receive their pay.

Minimum Requirements:
A bachelor’s degree in an appropriate area of specialization; or a high school diploma and four years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preferred Qualifications:
Experience in an accounting field with budget preparation. Knowledge of methods of data collection, word processing skills, ability to use spreadsheet software, organizational skills, and good communication skills. Ability to type accurately, to work under pressure, to communicate accurately and effectively with internal and external sources.
