This position involves the responsibility of performing accounting related functions that support the purchasing department as well as providing direct assistance to the Manager of Operational Cost Control with general office functions that are carried out in accordance with general work instructions and established office practices, procedures and precedents. Minimum of one (1) year of clerical accounts payable experience.

Must be able to accurately process alpha/numeric information.

Strong mathematical and numerical abilities. Ability to perform a volume of numerical calculations with speed and accuracy as well as reports.

Must be able to read, write and speak English

Basic communication skills Spanish in order to communicate with customers and out port offices

Intermediate computer skills in programs such as MS Word, MS Excel, MS Outlook.

Ability to establish and maintain effective working relationships with fellow employees and other individuals s/he may have to contact in order to perform her/his job.

Ability to work with limited supervision and strong initiative.

Strong organization and time management skills. Ability to prioritize.

Ability to think logically and make sound decisions.

Ability to define problems collects data, establish facts, and draw valid conclusions.

Reconciles purchase orders to packing list and invoices by ensuring that the quantity, price and product ordered were actually received.

Communicates with outports regarding discrepancies with purchase orders (Dominican Republic, Honduras, Guatemala, Nicaragua, Colombia and Venezuela).

Codes all invoices with the appropriate general ledger numbers.

Researches any differences when invoice and purchase order do not match.

Enter A/P invoices in AS400 system for payment (voluminous).

Entries owner operator’s payroll on a weekly basis.

Prepares Miscellaneous Invoices originated at the Port of Miami and posts in the AS400.

Produces photocopies and operates fax machine as required and follows up with contacting party to assure receipt of such.

Receives and opens correspondence for the department.

Communicate and assist vendors on a daily basis

Answers all incoming telephone calls for the department and directs them as necessary. Delivers messages as necessary.

Maintains and updates departmental filing system

Prepares courier packages and airway bills when packages and documents need to be delivered.

Perform additional related duties as assigned.

Receives direct supervision from the Operational Cost Control Manager; may assist other Purchasing employees in the performance of administrative functions. Does not exercise supervision over any position.

Report safety hazards

Immediately report incidents involving injury, illness, or property damage

Wear appropriate PPE as instructed by immediate supervisor

Comply with all company safety policies, procedures and rules

Refuse any unsafe task or operation

Participate in safety meetings and trainings
