The Iowa Department of Revenue is currently accepting applicants for an Executive Administrative Assistant (non-contract Administrative Assistant 2) position for the Internal Services Division. The Internal Services Division manages the Human Resources, Budget & Accounting, Purchasing, and Facilities Management for the Department. This position reports to and supports the Chief Operating Officer by performing the following duties:
o Human Resources:
o Tracking Employee Training; Scheduling
o Tracking Orientation; Schedule Sessions
o Tracking Grievances; Scheduling Meetings
o Filing
o Budget & Accounting:
o Prepare Travel Payments for Travel Reimbursement; Submit for Signature and Approval
o Facilities Management:
o Submit Requests, Track, and Ensure Completeness of Requests
o Executive Assistant to the Chief Operating Officer:
o Tracking Performance Evaluations; Ensuring Completeness and Timeliness
o Scheduling Meetings
o Typing and Proofreading Documents for Accuracy, Grammar, Spelling, and Sentence Structure; Preparing Final Draft for Distribution; Filing
o Prepare for Meetings and Presentations
o Creating and Maintaining Files
o Tracking Assignments
o Reviewing e-Leave; Approving Timesheets
o Make and Coordinates Travel Arrangements; Develop Itinerary’s
o Participates in Special Projects and Initiatives as Required
o Backup Secretary to the Director:
o Receiving, Screening, and Greeting Visitors and/or Telephone Calls
o Scheduling Meetings
o Taking Minutes
o Typing and Proofreading Documents for Accuracy, Grammar, Spelling, and Sentence Structure; Preparing Final Draft for Distribution; Filing
The ideal candidate will be proficient in the following:
o Compiling and maintaining records (alpha, numeric, and subject matter), reports and supporting documentation for filing, processing, and/or retrieval.
o Proofreading documents for accuracy, grammar, spelling, and sentence structure.
o Operating a phone, personal computer, Outlook, Word, Excel, and Access.
o Working and communicating with internal and external clients and customers orally and in writing.
o Expressing information to individuals or groups effectively, taking into account the audience and nature of the information.
The optimal candidate will also be an energetic self-starter, detail oriented with a high level of accuracy, extremely organized, have the ability to keep information confidential, prioritize job duties, multitask, and work with minimal supervision.

Minimum Qualifications
Graduation from an accredited college or university and experience equal to one year of full-time administrative or technical support work (e.g., determining budget, personnel and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).
