Duties and Responsibilities:
The Administrative Assistant serves under the direction of the Executive Director, and provides support to the Executive Director and other staff.
Primary responsibilities may include, but are not limited to, the following:
Maintaining daily office operations including correspondence, mail distribution, petty cash disbursement and telephone.
Maintaining office computer and business systems.
Assisting with projects including typing, document reproduction, mailing and planning for bi-monthly Board meetings and committee meetings when necessary.
Communicating with bookkeeper and tax accountant on financial activities, accounts payable and disbursements.
Serving as office receptionist.
Maintaining various mailing and contact lists including the membership database including all updates and changes.
Providing membership contribution records including quarterly invoices; monthly fundraising report, dues paid report upon check receipts and thank you letters.
Maintaining inventory of necessary office supplies.
Providing day-to-day scheduling and coordination of activities.
Handling conference registration for staff.
Knowledge, Skills and Abilities:
Candidate must possess working knowledge of office equipment including word processing, spreadsheet management (MS Office), database (FilemakerPro) and accounting (Quick Books) computer software, and must be able to maintain files and records on both Macintosh and PC platforms.
