General Overview

This is an administrative support position that fills the roles of timekeeper, some localized office management, supplies management, meeting planning, and other ad hoc duties as needed.

Responsibilities

*
Provides administrative support for a number of Directors including screening and directing phone calls, managing incoming and outgoing mail, managing calendars, scheduling meetings, securing conference room availability and providing other administrative assistance as needed.

*
Supplies Management: order and track supply usage, especially toner and bill forms.

*
Manage phone and seating list for Patient Accounts/Revenue Operations.

*
Manage additional recycling system for small satellite kitchens.

*
Localized office management: set up spaces for special functions, report repairs, furniture requests, damage, spills, etc.

*
Provide monthly expense reports, check request production, mailing requests, assist with document production/formatting on an ad hoc basis, manage

*
Facilitate communication across the floor, as well as with office manager and other Schrafft’s administrative assistants.

Back up for other departmental Administrative Assistants.

*
Provide payer-specific/systems support as needed.

Requirements

Associates degree, or an equivalent combination of training, knowledge, and experience. Minimum of two years administrative experience involving the support of management.

Proficiency in Microsoft Office suite including Excel, PowerPoint, Access, Word, etc.)

Must possess excellent interpersonal skills.

Exceptional oral and written communication skills, including excellent telephone skills.

Ability to deal with all levels of employees within the Partners system tactfully and persuasively.

Must possess excellent proofreading skills, attention to detail and follow through skills.
