Job Description:
Highly responsible position managing Immigration Compliance in the College of Engineering, H1B, TN, Permanent Residence (Green Card), and will serve as a resource for departments related to J-1 Visa’s, F-1 and OPT ; maintain data and track visa population in the College of Engineering, to include tracking arrivals and departures with departments and tracking visa expirations and renewals. This position acts as a liaison between the College departments and institutional administration including the Office of Human Resource Services, Student Employment, UF International Center, Tax Services and Payroll. The incumbent is responsible for the coordination and completion of appropriate paperwork for faculty and employee hires, updates/amendments, and transfers for departments including I-9 Compliance of Foreign Nationals.
The College of Engineering consists of the Office of the Dean, seven departments, one School, Research Service Center and 21 Centers and Institutes. All personnel related paperwork for these areas is reviewed by the Human Resources/Payroll area of the Office of the Dean. This is a new position to the college as part of a centralized/shared service initiative. The incumbent will be actively involved and expected to provide in-sight in the set-up and organization of the processes as they relate. Incumbent will report directly to the HR Administrator for the college.
40% Coordinates Immigration Compliance for employees seeking sponsorship through the University of Florida in the College of Engineering; faculty, eligible Teams and OPS professional staff who are hired permanently or temporarily; assists in the completion of the initial VISA applications, amendments, renewals, transfers, permanent residency, and ensures the college is in compliance with all appropriate rules and regulations. The incumbent will work with each employee, departmental liaison, Tax Services, HR Immigration Compliance Service Office ( HRICS ), UF International Center and Fragomen, Del Rey, Bernsen & Loewy. Through coordination with the HR Administrator make suggestions regarding improvement of processes, policies and procedures as they relate within the college and disseminate as appropriate.
30% Collaborates with college HR team staff to complete and review appropriate hire paperwork for foreign national Faculty, Post-Doc Associates and Fellowships, and any changes in appointments, e.g., FTE or salary ensuring appropriate amendment is filed, responsible for updating I-9 for any changes ensuring compliance, and enters initial hire or change via ePAF. Creates, maintains and updates files for the college HR employee database and works with employees and departments prior to VISA expiration dates to ensure timely processing. Create and maintain a reference manual.
15% Responsible for advertisement compliance related to faculty and staff; posts positions in Gatorjobs, and outside advertising venues; gathers appropriate information through communication and coordination with department HR liaison.
10% This position will cross-train with HR team staff; hiring processes of domestic hire of faculty and staff, complete ePAFs, Offer Letters, review ePAF submitted for OPS staff by departments, serve as Level 1 approver, answer HR office phone lines, special projects or related duties as assigned.
5% Attends training to become an expert in Immigration Compliance and stays abreast of new regulations related to VISA processing, participates in monthly manager’s meeting to inform and provide appropriate updates related to Immigration Compliance.

Minimum Requirements:
A high school diploma and seven years of appropriate experience. Appropriate college coursework or vocational/technical training may substitute an equivalent rate for the required experience.

Preferred Qualifications:
Experience with processing VISA applications and Immigration Compliance
Excellent and effective communication skills, verbal and written, with the ability to be assertive yet respectful, and motivate individuals to obtain information or achieve results
Knowledge of the university’s Human Resource policies and procedures
Knowledge of the university’s Tax Service and Payroll policies and procedures
PeopleSoft knowledge and experience
Ability to understand, interpret and apply appropriate rules, regulations, policies and procedures.
Ability to prioritize coordinate and organize work assignments, must possess and exercise excellent follow through to ensure completion of projects.
Ability to work independently
Must be able to establish and maintain effective working relationships with others
Ability to gather data, prepare reports
Experience with MS Word, Excel, PowerPoint
Must exercise confidentiality with sensitive information
