Provides clerical support for the department. Maintains all correspondence and records for the Donor Resources Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Responsible for typing and/or mailing letters and other correspondence.
Responsible for filing all Donor Resources records.
Assists with incoming telephone calls. Ascertains nature of call and transfers it in a courteous and prompt manner. Facilitates messages in reaching employees via cell phone and/or pager.
Prepares blood drive support materials (posters, flyers, etc.)
Greets all visitors and issues a visitor’s pass.
Responsible for handling all incoming and/or outgoing mail.
Ability to use common office equipment, i.e., fax, copier, postage machine, etc.
Monitors operation of copy machines and calls for service when needed.
Handles all product requisitions and/or check requests submitted by the Donor Resources Department for processing and/or billing.
Maintains on-call log and sends out messages to the appropriate parties notifying who is on-call that week.
Maintains timecards and attendance controller.
Reviews and processes all expenses submitted by the Donor Resources Department.
Assists in the production of special events such as donor awards, luncheons, banquets, etc.
Assists in the development of marketing materials and public relations/publicity. Maintains inventory of all materials needed and reorder as necessary.
Keeps track of progress of material orders and donor group thank you letters on a daily basis. Informs supervisor when extra help is needed or progress is behind.
Maintains up-to-date literature, i.e., flyers on the Donor Resources shelves. Keeps master copies of materials on file.
Orders office supplies when needed.
Maintains and reconciles petty cash on a regular basis.
Other duties may be assigned.

EDUCATION and/or EXPERIENCE
Associate’s degree (AA) or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Knowledge of Windows based programs such as Word, Excel, etc., and Desktop Publishing programs such as PowerPoint, PageMaker, Corel, etc.
