Administrative Operations Assistant (Financial Services)
Full Time
Monday - Friday, 8am - 5pm

Dynamic San Francisco boutique financial services firm is seeking that special person, with 3-5 years of experience working for an individual or a team at a Brokerage or RIA/Financial Planning firm, who aspires to be the administrative operational hub of this growing firm. The environment is fast-paced and requires a motivated, enthusiastic team player who enjoys learning and taking on new responsibilities, and who is able to multitask. The Administrative Operations Assistant will be engaging in and managing office tasks and projects for the firm and assisting the Principal. The candidate must be: highly organized, thorough and detail-oriented; very comfortable working collaboratively yet can be proactively independent; able to precisely execute instruction; excellent at
meeting deadlines; dedicated to quality work; must be pleasant, reliable, punctual, ethical, and demonstrate the utmost professionalism. The successful candidate will be working with highly sensitive/confidential material and must feel comfortable working with all levels of clients, including doctors, lawyers, and other professionals. We are
client-centric and hold ourselves to the highest level of ethics, integrity, and trust.

General Overview of Responsibilities:
• Draft and send out emails and correspondence
• Take accurate, legible handwritten and typed notes during phone calls and meetings
• Create and update operational procedures
• Prepare checklists and materials for client meetings
• Develop and update spreadsheets
• Maintain and update office files (electronic and paper)
• Communicate with clients, custodians, and vendors on operational matters
• Process new and current client account forms
• Support Principal with business development and compliance management
• Rise to ad hoc tasks and projects

Required to be highly proficient in:
• MS Office (Outlook, Word, Excel, PowerPoint)
- - Manage contacts in a database; mail merge for email and correspondence
- - Type at least 70 wpm accurately; compose a business letter without errors
- - Create and manipulate workbooks with data and formulas using financial functions
- - Creating financial Pivot tables in Excel.
• Adobe Acrobat - Edit and reorganize PDFs
• Internet - Research, gather, and present information from the internet

Preferred:
• College degree or equivalent in experience
• Comfortable working with IT personnel to resolve issues
• CRM (Client Relationship Management) software experience
