Individual must be able to work in a fast-paced and multi-tasked environment, possess exceptional proofreading/editing, customer service, planning, and organizational skills. Will be required to perform a large majority of work in table formats, creating tables, cells and manipulating data from multi-paged documents.
Individual will work in the City Secretary's Office and will have frequent contact with Mayor and Council Members and Executive Level staff. Must be able to provide support to Council on rotating schedule with other staff members to include working evening/day City Council and Corporation Board meetings as required.
Individual will be responsible for drafting and finalizing of City Council Minutes and meeting deadlines for weekly Council Packet distribution to the City Council; working with Excel and Access documents relative to Board and Commission reports; processing and electronically indexing various documents; ordering office supplies utilizing associated software; handling department mail; and utilizing Laserfiche document imaging software.
Individual will also be responsible for time and attendance verification; preparation of General Correspondence files and daily filing of general correspondence documents. Experience with webpage development and maintenance preferred as individual may be required to assist with the maintenance of the department's webpage.

Skills / Requirements The following education and/or experience are the minimum standards which provide the requisite knowledge, skills and abilities for this position:

High School Diploma or GED Certificate, supplemented by specialized training in secretarial and administrative support PLUS two (2) years of increasingly responsible secretarial experience, including one (1) year experience in an administrative support setting required. Preference may be given to higher levels of education and experience.
The successful candidate will be proficient with Microsoft Word, Excel and Access. Position requires extensive telephone and public contact customer service skills. Bi-lingual skills preferred.
OTHER REQUIREMENTS: Attach resume and cover letter. Individual will be required to become proficient in the use of Granicus video streaming software that is used during various meetings of the City Council as well as PeopleSoft Management software for time and attendance responsibilities.
Must pass Computerized Office Skills exam with a minimum score of 70; and must type at least 50 wpm. 60 wpm preferred.
