This individual will perform a variety of responsible administrative and secretarial duties and provide a full range of office support services.
Prepares correspondence, reports, and other documents; prepares materials for training and other activities; assists with the collection, compilation, and dissemination of materials; and tracks services/products using computer databases.
Makes travel arrangements as necessary for staff and incoming consultants and meeting participants. Prepares travel authorizations and necessary staff associate and consultant request forms; prepares reimbursement vouchers and purchase requisitions.
Assists in meeting and conference planning, including finding meeting space, making and maintaining communications with hotel staff, and preparing materials.
Processes new materials as necessary for unit, types purchase requisitions, obtains supplies. Maintains/retrieves files for correspondence, documents, and other materials prepared or required by staff. Proofs typed materials and makes corrections.
Operates copying equipment, collates, files, and distributes documents, memoranda, reports, etc.
Performs other such duties as may be assigned by the Administrative Assistant or Project Director, REL Southwest.
High School Diploma. Demonstrated proficiency with Apple computers and Word, Power Point, Filemaker Pro, and other compatible software packages for desktop publishing. Some knowledge of graphics and Internet applications, including e-mail and browsers. Appropriate skills in oral and written English communication, general mathematics, and routine office practices. Ability and willingness to work independently and as part of a team to successfully accomplish tasks. Ability and willingness to work with multilingual, multiethnic, and multiracial co-workers and constituencies. Ideal candidate is creative, willing to learn, well organized, and good at problem solving.
Three years successful, relevant experience in a responsible secretarial position. Experience with Apple computers and Word, Power Point, Filemaker Pro, or other compatible software packages for desktop publishing. Some experience with Internet applications and information technology.
Individual must be willing and able to perform all travel (including overnight and commercial airline travel) that is necessary to accomplish the principal accountabilities associated with (and/or the essential functions of) the position. Travel for this position is estimated at 5%.
Administrative Secretary is a non-exempt position and is on Pay Grade 5 of SEDL's Salary Structure. The total salary range is $30,972 - $45,528. The initial salary shall generally fall within the first third of the range, which is $30,972 - $35,832. Initial salary is dependent upon the successful applicant's relevant experience and education; plus benefits.
