DUTIES: NOTE : This is a TERM appointment (not-to-exceed 1 year, plus 1 day). A term appointment is a non-permanent appointment expected to last longer than one year, and can be extended non-competitively for a maximum of four years. Typically, the employing agency hires the term appointee for work of a specific project. Term appointments are non-status, and nonpermanent appointments. Term employees are eligible to earn leave and generally have the same benefits as permanent employees including health and life insurance, within-grade increases and Federal Employees Retirement System and Thrift Savings Plan coverage.

This position is located at the VA Medical Center in Canandaigua , NY. The Administrative Support Assistant provides confidential assistance to the Administrative Core and throughout the Center of Excellence for Suicide Prevention (Center). The Administrative Support Assistant primarily provides support services such as Institutional Review Board (IRB) and Research and Development Service (R&D) processing, administrative process improvement recommendations, employment verification, and tracking of education and training. He/she is responsible for planning, coordinating and performing a variety of management and specialized administrative services in support of the organization, provides guidance and assistance to others, solves problems, and is responsible for generating reports and correspondence.

Work Schedule: Monday through Friday, 8am until 4:30pm

QUALIFICATIONS REQUIRED: TO QUALIFY FOR THIS POSITION: You must have one (1) full year specialized experience equivalent to the next lower grade level (GS-6) in the Federal Service. This experience must be close to the work of this job and has given you the particular knowledge, skills, and abilities required to successfully perform the duties of a Administrative Support Assistant. Specialized experience may have been gained independently performing clerical duties in a healthcare setting including prioritizing workload to meet deadlines; In-depth knowledge of the capabilities, operating characteristics, and functions of preferred office automation software (e.g. word processor, database management, spreadsheets, graphics and presentation, and electronic communications); Knowledge of and skill in the use of these software applications to create formal documents, reports, charts, graphs, graphical presentations, spreadsheets, and forms in a wide variety of desired formats and styles to meet the demands of assignments; Knowledge of grammar, spelling, punctuation, correspondence preparation and formats to reflect the preferred style and tone of the organization; Skills in applying basic data gathering methods to collect various types of administrative data; etc. NOTE: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

HOW YOU WILL BE EVALUATED: Applicants will be ranked based on four quality groups, as follows:
  • Best qualified - applicants possessing experience that substantially exceeds the minimum qualifications of the position including all selective factors, and who are highly proficient in all requirements of the job and can perform effectively in the position;
  • Highly qualified - applicants possessing experience that exceeds the minimum qualifications of the position including all selective factors, and who are proficient in most of the requirements of the job;
  • Well qualified - applicants possessing experience that meets the minimum qualifications of the position including all selective factors, and who are proficient in some, but not all, of the requirements of the job; and
  • Qualified - applicants possessing experience and/or education that meets the minimum qualifications of the position including all selective factors.
After the vacancy announcement closes, reviewed applications are evaluated against the questionnaire responses and placed in the appropriate quality group. Qualified veterans will be afforded preference by being placed at the top of the appropriate quality group. Qualifying veterans with a service-connected disability of 10% or more will be placed at the top of the best qualified group.
