Reports to: Executive Vice President

Full-Time; Salaried Exempt

Monitor the community’s physical condition and cause it to be maintained in a superior manner.

  • Perform site reviews as least twice per month
  • Understand and use reserve study for project planning and present those projects/ideas to the Board of Directors
  • Have working knowledge of association components and needs
  • Supervise and communicate with vendors and anticipate Board questions
  • Properly implement RFP specifications and bid process
  • Meet with Committee Chairs/Board Members regularly to review progress on work orders, projects, problems with the association
Manage the administrative affairs of the association in a superior manner.

  • Monitor and document association violations including preparing violation letters, hearing notices, and preparing hearing determination letters
  • Provide notice and conduct annual meetings in accordance with association’s governing documents
  • Cause accurate and appropriate minutes to be taken and records kept
  • Prepare and distribute association newsletter
  • Maintain association website including, but not limited to its design, email blasts, notices, document postings, meeting notices, obtaining homeowner email addresses, etc…
  • Be familiar with association’s contracts and insurance coverage and requirements
  • Process payroll
  • Organize and process mailings to homeowners including, but not limited to budgets, annual elections, audits, proxies
Know and understand the association’s CC&Rs, By-laws, Articles of Incorporation, Rules & Regulations and any other governing documents

Know and understand the Davis-Stirling Act and California Corporations Code as it relates to homeowners associations

Respond to all customer service requests and phone calls in a timely and professional manner

Consistently produce professional written correspondence

Manage the financial affairs of the association

  • Consistently code invoices in a timely and accurate manner
  • Assist in the production of the budget
  • Publish the audit in accordance with civil code
Institute proper procedures and take a leadership role in conducting Board of Directors’ meetings with standardized board packets and management reports

Implement an annual calendar system for compliance issues, board meetings, annual meetings, insurance renewals, fiscal year ends, site reviews, etc.

Supervise Company employees as directed by the Board of Directors
